Job Overview:
The Timekeeper applies their conceptual knowledge of Timekeeping and with a moderate level of guidance and direction from colleagues and leadership, is responsible for solving a range of straightforward Timekeeping problems. They will be responsible for analyzing workable solutions using standard procedures, as well as building knowledge of the company, processes, and customers. The Timekeeper understands key business drivers and applies this knowledge to solve problems in straightforward situations through analysis of workable solutions using technical experience, judgment, and precedents. The Timekeeper will be responsible for maintaining proper communication and documentation between the project team and field while ensuring the craft population is paid accurately and on time. The role will be supporting a project in the Port Arthur area specifically Sabine Pass.
ResponsibilitiesKey Tasks and Responsibilities:
- Utilize timekeeping software (Timeworks) to accurately record and maintain employee time and attendance data
- Ensure adherence to company policies and regulatory requirements in all timekeeping activities
- Work with the HR team to maintain a database of the personnel’s personal information to ensure accurate payroll activities and records
- Conduct regularly scheduled audits of payroll records to ensure continued accuracy
- Prepare paychecks to ensure that employees are paid on time and in the correct amount
- Verify and validate employee timesheets using our electronic timekeeping system (ETS)
- Assist in analyzing timekeeping data to identify trends, patterns, and discrepancies
- Support in the preparation and distribution of payroll reports and summaries
- Responsible for assisting in rate change or retro transfers
- Works with transactional groups (e.g., HR, Project Supervisors, Project Management, Accounts Payable and Receivables and Client billings) to assist in common problems within the project structure or systems that may have room for process improvements
- Maintain confidentiality of employee information and adhere to data protection policies
- Participate in audits and investigations related to timekeeping and payroll as needed
- Stay informed about changes in timekeeping regulations and best practices.
- Assist in the implementation and testing of timekeeping software upgrades or enhancements, as needed
- Sort, scan and file timesheets, and receivers for multiple projects daily
- Verify, reconcile, code, and approve entries
- Compile backup files of all transactions to prepare for billing packages
- This position performs a variety of other tasks associated with document management and timekeeping activities and works closely and professionally with peers, technical leads, supervisor, and customers
Essential Qualifications and Education:
- 3+ years of timekeeping experience, preferably in an oil and gas project environment
- Minimum high school diploma or equivalent, bachelor’s degree in a relevant area of study preferred
- Bilingual Spanish desirable
- Strong proficiency in mathematical computations, data entry and filing
- Must be able to create, formulate, and manipulate spreadsheets in Excel
- Good proficiency in Word, Outlook, and PowerPoint
- The individual must possess good knowledge of professional timekeeping principles, concepts, and terminology, working knowledge of electronic timekeeping systems, and payroll related principles, concepts and terminology as basic accounting and craft payroll work processes

- Possess effective communication skills (written/verbal) with an ability to interface with diverse levels of personnel

- Ability to work in a team environment and follow instructions from supervisors
- Interest in learning about labor laws, regulations, and compliance requirements related to timekeeping and Payroll
- Ability to train others in use of software applications used for document management and timekeeping activities

Additional Physical and Work Requirements:
- Ability to sit for extended periods of time while performing data entry and computer-based tasks
- Ability to lift and carry up to 35 pounds when necessary (e.g., files, boxes, or records)
- Ability to work overtime as required, including weekends or extended hours during peak periods, audits, or project deadlines
