Virtual Assistant - Cata Cases Data & Reporting Support
About the opportunityWe are hiring a Virtual Assistant to support data and reporting for Cata Cases. Cata Cases runs approved targeted video-mailer campaigns reaching people affected by catastrophic motor vehicle accidents. You will keep campaign data accurate, organized, and on schedule while keeping the team informed of progress and problems.
We are looking to fill this role right away with the right person. It starts part-time, with potential to grow into full-time as workload increases. Candidates may apply from anywhere in the world, subject to an appropriate local engagement arrangement. All assigned hours must be worked during U.S. Eastern Time business hours. The exact starting schedule will be agreed before engagement. This role is for someone who enjoys spreadsheets, follows clear procedures, and checks details before work moves to the next stage. You will support execution under established processes and approvals.
What you will do- Order data from approved vendors and sources, verify order criteria, and track costs, delivery timing, and status.
- Download scheduled datasets; clean and format Google Sheets or Excel files; flag duplicates, missing fields, and address issues.
- Check approved websites and portals for updates and verify campaign links, landing pages, forms, and phone numbers.
- Collect approved online information, follow access and privacy rules, and spot-check data before handoff.
- Keep order, mailing, delivery, response, and report trackers current; reconcile totals and flag gaps or unusual changes.
- Update ClickUp, send clear status reports, escalate blockers, and document recurring tasks.
- At least three years of experience as a virtual assistant, data assistant, or in a similar support role.
- Proficiency in Google Sheets and/or Excel, including filters, sorting, basic formulas, and VLOOKUP or XLOOKUP.
- Attention to detail, organized files, reliable follow-through, and clear written English for work communications.
- Experience protecting confidential information and following written procedures.
- Ability to learn new tools and work the agreed part-time schedule during U.S. Eastern Time business hours.
- Ability to carry out remote duties with reliable connectivity and appropriate confidentiality safeguards, with reasonable accommodation where applicable.
Law firm or legal marketing support, direct mail, mailing lists, address standardization, approved public-record workflows, data vendor coordination, ClickUp, Box or Dropbox, and approved web collection tools such as Apify or Octoparse are helpful but not required.
