The Career Pathways Manager is a key member of Roo's Relief-to-Hire team (R2H), helping connect veterinary professionals with meaningful career opportunities.
We're looking for someone who is highly organized, proactive, relationship-driven, and passionate about creating exceptional experiences for both candidates and hospital partners. In this role, you'll guide veterinary professionals through the placement journey, coordinate across teams to keep processes running smoothly, and build strong partnerships that support successful hiring outcomes.
Success in this role requires strong attention to detail, excellent communication skills, the ability to manage multiple priorities, and a collaborative mindset. You'll work closely with Account Managers, hospital partners, enterprise clients, and the broader Relief-to-Hire team while reporting to the Senior Manager, Career Pathways.
ResponsibilitiesCandidate Coordination & Support- Guide veterinarians and technicians through the Relief-to-Hire process, from interest to offer.
- Maintain clear, consistent communication with candidates to ensure a supportive and personalized experience.
- Collect, organize, and share candidate materials (e.g., resumes, references) with hospitals in alignment with Roo standards.
- Work closely with VetAM, HSP, and Enterprise to ensure hospitals are matched with the right veterinary professionals.
- Track hiring needs and placement opportunities to inform pipeline development.
- Collaborate with the Senior Manager and cross-functional squad to identify placement opportunities and proactively flag risks.
- Follow and uphold Standard Operating Procedures (SOPs) developed by the senior manager and R2H squad.
- Identify workflow gaps or bottlenecks and suggest process improvements.
- Support testing and rollout of new tools or processes aimed at improving efficiency and experience.
- Keep candidate and placement records up-to-date in HubSpot and other systems.
- Assist with data entry and report generation to support internal visibility and forecasting.
- Monitor milestones and timelines for placements to ensure timely progress and stakeholder communication.
- Coordinate with finance to ensure accurate billing for completed placements.
- Help resolve billing-related issues by liaising between internal teams and hospital partners.
- 2-4 years of experience in account coordination, inside sales, recruiting, or a client-facing operations role where managing multiple relationships simultaneously was core to the work
- Demonstrated ability to manage a pipeline or portfolio of active candidates, deals, or accounts without losing track of where things stand or what needs to move next
- Strong written and verbal communication skills, with a knack for making people feel supported and informed throughout a process
- Experience working cross-functionally with multiple stakeholders or teams to drive outcomes
- Comfortable working in a CRM (HubSpot, Salesforce, or similar) to manage pipelines, log activity, and generate reports
- Ability to identify process gaps and take initiative to flag or address them, rather than waiting to be asked
- Organized, self-directed, and able to prioritize in a fast-moving environment
- A genuine interest in the veterinary or healthcare space, or in helping professionals find meaningful career opportunities
While we are a remote first company, if you are based in San Francisco this will be a hybrid role.
