As the steward of our candidate experience, you will orchestrate memorable touchpoints — from the first outreach to Day 1 — while lending handson support to the Talent Acquisition Operations team. Here’s What You’ll Do
Candidate Experience (~70%)
Coordinate endtoend interviews for roles across the US, Europe, the UK, Asia Pacific and Canada, partnering closely with Recruiters and Hiring Leaders.
Craft polished onsite & virtual schedules, booking travel and accommodation where needed, and serving as the single pointofcontact for candidates and executive search partners.
Go above and beyond to ensure every candidate has a delightful on-site or virtual interview experience with Moderna. Every detail counts and your creativity will help show talent how different Moderna truly is.
Help define and reinforce a consistent interview scheduling process at Moderna that results in a superior candidate and hiring manager experience. This includes pushing back, where needed, and educating others on SLA’s (service level agreements).
Build extremely strong relationships across the business, including Executive Assistants, and be in close communication at all times regarding candidate interviews and scheduling.
Make recommendations on ways to improve candidate/hiring manager experience based on analysis of Candidate, Hiring Manager and Interview team survey and real time feedback – and share feedback that highlights exceptional experiences.
Proactively develop strong partnerships with our HR Business Partner team and Talent Acquisition Operations Associate regarding new roles that may be launching.
Create and manage candidate expenses, ensuring talent are reimbursed by Finance in a timely manner.
You’ll be open to high level of growth and change within the organization – where priorities may not always be clear and nimbleness is always required.
Be bold in creating new ideas to identify, engage, attract, and assess talent into Moderna.
TA Operations Support (~30%)
Create, edit, and reconcile requisitions in Workday, ensuring data accuracy and alignment to approved headcount with HRBPs.
Act as Tier I support for TA systems questions, triaging issues and partnering with our Digital team to enhance Workday automation, reporting and new functionality.
Document SOPs and keep online process guides current so the team scales efficiently.
Track employee referrals and coordinate bonus payouts with Payroll.
Maintain TA records in compliance with local labour laws and data privacy regulations.

Bachelor’s degree, or equivalent experience professional experience
Minimum of 2 years experience working in a corporate HR environment in a support capacity
MS Word, Outlook, Excel and PowerPoint
An ability to be organized in how you think, communicate and conduct your work
Fluency in English is essential (written / spoken)
Here’s What You’ll Bring to the Table (Preferred Qualifications)
Working knowledge of labor laws and regulations related to recruiting and hiring.
Experience of Applicant Tracking systems such as Eightfold or Workday, and a strong “digital first” mindset.
Ability to anticipate problems before they happen, seek ways to continuously improve our work, and have a relentless sense of urgency.
Ability to work effectively across locations and time zones.
Strong verbal and written communication skills – you are outgoing, communicative, and seek to build relationships on a daily basis
