Requirements

GU-Q is seeking three (3) On-Call Events Coordinators.

The role will provide practical operational support across all stages of event delivery, from preparation and setup through to on-site coordination and event breakdown. It will work closely with the Events team, internal departments, external vendors, and other stakeholders to ensure events run smoothly and that guests have a positive experience.

On-Call Events Coordinators will be needed for blocks of time between 8:30 a.m. and 5:00 p.m., with availability to cover evening and weekend shifts as needed. The anticipated start date is August/September. Training will be provided for 1-2 days and working periods will be identified and agreed to in advance, dependent upon need and availability.

Note: As this part-time position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a non-sponsored, part-time position that requires all applicants to already have the necessary sponsorship to live and work in Qatar.

Key Accountabilities

  • Support on-site event management, including event setup, registration, guest assistance, and overall event logistics.
  • Provide seamless event support during scheduled time blocks, which may include evenings and weekends.
  • Collaborate with the team to successfully execute events, with responsibilities primarily focused on day-of event operations, including setup, guest interactions, catering management, and post-event cleanup.

Key Activities

  • Execute a variety of events and meetings, focusing on day-of event activities, including setup, guest interactions, catering management, and post-event cleanup.
  • Perform physical tasks, including extensive walking, pushing carts, and carrying event-related equipment, signage stands, and materials required for event setup and execution.
  • Greet guests, manage catering services, and support the smooth operation of events during on-site assignments.
  • Provide coverage for evening and weekend shifts as required to meet event schedules and support team operations.
  • Attend and complete required training programs to become familiar with event coordination processes and procedures.
  • Support the team during high-demand periods, including New Student Orientation, Convocation, conferences, commencement activities, and other busy event weeks.
  • Focus primarily on day-of event execution, including setup, guest engagement, catering coordination, and post-event cleanup, with limited involvement in pre-event planning.
  • Assist with setting up event spaces and equipment, as well as event breakdown and cleanup activities.
  • Support the preparation and distribution of event materials, including invitations, programs, signage, and promotional materials.
  • Assist with event registration processes, including managing registration systems, tracking attendee lists, and responding to inquiries.
  • Work closely with vendors, contractors, and suppliers to ensure timely delivery of event-related services and products.
  • Perform other similar duties as assigned.

  • Demonstrated resourcefulness and ability to identify practical solutions using available resources.
  • Confidence in executing event-related tasks and ensuring successful event outcomes.
  • Physical ability to perform manual work, including extensive walking, pushing carts, and carrying equipment and materials.
  • Ability to actively participate in event execution, including setting up spaces, greeting guests, managing catering, and supporting event breakdown and cleanup.
  • Flexibility to adapt to different event requirements and provide support as needed, with a primary focus on day-of event execution.
  • Strong organizational and multitasking skills.
  • Excellent interpersonal and consensus-building skills, with the ability to work effectively with diverse individuals across cultural and institutional environments.
  • Excellent English language communication, writing, presentation, and organizational skills.
  • Proficiency in Arabic reading, writing, and speaking is preferred.

Qualifications

  • Bachelor’s degree.

Experience

  • Relevant experience in event planning, event coordination, or a similar role, with the ability to execute event-related tasks confidently and efficiently.
  • Experience demonstrating problem-solving skills, resourcefulness, and adaptability in dynamic event environments.
