Job Description
Summary
Provides administrative and clerical support specifically related to purchasing department activities, managers or staff.
Essential Duties and Responsibilities include the following, but not limited to:

Contacting vendors to obtain prices and schedule delivery dates.

Develop and maintain resources for assigned commodity items.

Prepare standard requests for quotation.

Assignments may require initiative regarding pricing revisions, order cancellations, discontinued items, acceptable substitutes, delivery date revisions and invoice discrepancies.

Prepare purchase orders and send copies to suppliers and to departments originating requests.

Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.

Respond to customer and supplier inquiries about order status, changes, or cancellations.

Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.

Review requisition orders in order to verify accuracy, terminology, and specifications.

Prepare, maintain, and review purchasing files, reports and price lists.

Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.

Track the status of requisitions, contracts, and orders.

Calculate costs of orders, and charge or forward invoices to appropriate accounts.

Compiles information and records to prepare purchase orders for procurement of material.

Complete purchase order and sends copy to supplier and department originating request.
Qualifications

Bachelor's degree and 0-2 years of directly related experience and/or training; or equivalent combination of education and experience.

Must have excellent verbal and written communication skills.

Ability to multi-task
