Job Description

Summary

Provides administrative and clerical support specifically related to purchasing department activities, managers or staff.

Essential Duties and Responsibilities include the following, but not limited to:

  • Contacting vendors to obtain prices and schedule delivery dates.

  • Develop and maintain resources for assigned commodity items.

  • Prepare standard requests for quotation.

  • Assignments may require initiative regarding pricing revisions, order cancellations, discontinued items, acceptable substitutes, delivery date revisions and invoice discrepancies.

  • Prepare purchase orders and send copies to suppliers and to departments originating requests.

  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.

  • Respond to customer and supplier inquiries about order status, changes, or cancellations.

  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.

  • Review requisition orders in order to verify accuracy, terminology, and specifications.

  • Prepare, maintain, and review purchasing files, reports and price lists.

  • Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.

  • Track the status of requisitions, contracts, and orders.

  • Calculate costs of orders, and charge or forward invoices to appropriate accounts.

  • Compiles information and records to prepare purchase orders for procurement of material.

  • Complete purchase order and sends copy to supplier and department originating request.

Qualifications

  • Bachelor's degree and 0-2 years of directly related experience and/or training; or equivalent combination of education and experience.

  • Must have excellent verbal and written communication skills.

  • Ability to multi-task

  • U.S. Person required for this position, U.S. Citizens and Permanent Residents.
