Job Description:
Onboarding vendor, request vendor details for setup, and submit it through the internal process Identify and evaluate suppliers for indirect goods and services. Negotiate contracts and pricing to achieve good value for the organization. Request quotation to vendors, analyze the pricing and payment terms of vendors, ensuring alignment with pre-established conditions and other relevant information, and either validate or submit for a new approval process with appropriate evidence. Review the requisitions with clarity and precision, get the quote and proceed with the requisitions for the indirect purchase order. Coordinate the purchase order approval workflow, and ensure all appropriate parts involved approve it before sending the purchase order to the vendor. Send the purchase order to the local and international vendors based on the internal requisitions. Monitor past due or partially received POs to ensure all items are received prior to payment. Vendor management, build and maintain relationships with vendors to ensure delivery, service, and compliance with contractual agreements. Invoice receiving and validation with purchase order to forward it to the inventory team and/or logistic team. Lead negotiations with suppliers regarding issues related to discrepancies in quantities, prices and other conditions, to solve problems related to them. Keep the database organized, update the documentation and achieve. Cross-functional collaboration, working with internal stakeholders to understand their procurement needs and provide timely solutions. Provide customer service to internal and external stakeholders to ensure adequate assistance in the acquisition and delivery of necessary goods and services. Market research, stay informed about market trends and pricing strategies to make informed purchasing decisions. Budget management, monitor and manage spending against budgetary constraints, ensuring effectiveness in purchasing decisions. Identify opportunities for process efficiencies and implement best practices in procurement. KPI monitoring. Support internal and external audits, providing evidence, documentation and requested information, as well as providing any necessary explanations. Act as a knowledge multiplier, providing technical support to peers.
Direct Scope
Send the purchase order to the local and international vendors based on demand to avoid shortages and excess. Manage the supply chain process, including order placement (Direct and Intercompany PO Creation), tracking, and follow-up till warehouse material receiving. Communicate with Supplier regarding early delivery, inventory issues, and approved alternative items when necessary. Sourcing and procurement, identify, evaluate, and select suppliers for direct materials, ensuring alignment with production needs and company standards. Supplier relationship management, develop and maintain strong relationships with suppliers to ensure quality, reliability, and performance. Inventory management, monitor inventory levels of direct materials, forecasting needs to prevent shortages or overstock situations. Communicate with vendor regarding early delivery, inventory issues, and approved alternative items when necessary. Cross-Functional Collaboration works closely with logistic, production, engineering, and quality assurance teams to understand material requirements and specifications. Quality assurance, ensure that all purchased materials meet quality standards and compliance requirements, addressing any issues that arise. Market analysis, stay informed about market trends, pricing, and supply chain dynamics to make informed purchasing decisions. Maintain accurate records of purchases, lead time, MOQ, pricing, and supplier information. Monitor key performance indicators (KPIs) to assess the effectiveness of operations and drive continuous improvement initiatives. Monitor past due or partially received POs to ensure all items are received prior to payment. Keep the database organized, update the documentation and achieve. Technically lead the process of purchasing materials and subcontracting with the national and international market, negotiating the best commercial conditions with suppliers to meet the needs of internal and external customers in relation to the demand for parts and components. Analyze the price conditions and payment terms of suppliers, observing their alignment with the pre-established conditions, as well as other relevant information, promoting validation or submitting them to a new approval process, with the appropriate evidence. Lead/monitor with suppliers, the actions of non-conformities detected by the Quality sector, proceeding with solutions for impasses or return/reimbursement of amounts. Lead negotiations with suppliers regarding issues related to discrepancies in quantities, prices and other conditions, to solve problems related to them. Lead the analysis of supplier performance, taking necessary preventive or corrective actions, as well as recommending, in partnership with technical areas, the development of new partners. Support internal and external audits, providing evidence, documentation and requested information, as well as providing any necessary explanations. Conduct the maintenance of continuous improvement programs, following standards and procedures, identifying potential improvements and working to implement them. Act as a knowledge multiplier, providing technical support to peers. Carry out other activities related to your role and the procedures of your work process.
