The Business Systems Specialist is an entry-level role responsible for helping AM Owner Group successfully implement, adopt, and improve business technology across the organization. The position works closely with the Chief Operating Officer, department leaders, employees, software vendors, and outside technical partners to turn operational needs into practical technology solutions.

The primary objective of this role is to lead assigned implementation workstreams and assist with the implementation and optimization of current and future technology. The Specialist will help organize projects, configure and test systems, document processes, train users, track issues, and support employees through technology changes. This role is designed for an early-career professional who is curious, organized, comfortable with technology, and motivated to learn how systems can improve business operations.

The position is not expected to arrive as an expert in every company system. Success will depend on the ability to learn quickly, ask good questions, follow through on details, communicate effectively, and progressively become a trusted internal resource for assigned platforms.

Essential Duties & Responsibilities

Technology Implementation & Project Coordination

  • Lead assigned implementation tasks and workstreams under the direction of the COO or project sponsor, helping move technology projects from planning through launch and post-implementation support.
  • Assist in developing project plans, timelines, task lists, testing plans, training schedules, and launch checklists.
  • Coordinate meetings, action items, deadlines, and follow-up between employees, department leaders, vendors, consultants, and technical partners.
  • Help gather business requirements by meeting with employees and leaders to understand current processes, pain points, and desired outcomes.
  • Support system setup and configuration, including workflows, forms, templates, permissions, notifications, user roles, and other settings as appropriate.
  • Assist with data collection, cleanup, migration, validation, and other implementation preparation.
  • Coordinate and participate in user acceptance testing; document issues and follow through on resolution before launch.
  • Provide clear project updates and escalate risks, barriers, or decisions that require leadership support.
  • Support go-live activities and help resolve issues during the transition to new systems.

Current Systems Optimization

  • Learn the company’s existing business systems and become a knowledgeable internal resource for assigned platforms.
  • Work with employees and department leaders to understand how current systems are being used and where processes can be simplified or improved.
  • Identify opportunities to improve workflows, reporting, automation, data entry, communication, and overall system utilization.
  • Assist with configuration changes, system enhancements, integrations, and updates under appropriate guidance.
  • Help identify repetitive manual work that may be reduced through better use of existing technology.
  • Track recurring user issues and help determine whether the solution is additional training, clearer process documentation, a configuration change, or vendor support.
  • Support periodic reviews of system usage to identify underused functionality and opportunities to improve the company’s return on technology investments.

Process Improvement & Documentation

  • Document current-state and future-state business processes when systems are implemented or redesigned.
  • Create and maintain process maps, standard operating procedures, user guides, quick-reference materials, system notes, and implementation documentation.
  • Help departments standardize processes where appropriate before or during technology implementation.
  • Identify duplicate data entry, unnecessary handoffs, or inefficient steps and work with stakeholders to develop practical improvements.
  • Maintain organized documentation of assigned systems, key contacts, configurations, workflows, and recurring processes so knowledge is retained by the company.

Training, Adoption & User Support

  • Develop or assist with training materials, job aids, FAQs, and user guides for new and existing technology.
  • Conduct or coordinate individual and small-group training and assist with larger company training sessions.
  • Provide approachable, practical support to employees learning new systems or processes.
  • Monitor adoption following implementation and help identify where additional training or follow-up is needed.
  • Gather user feedback and help translate that feedback into system, process, or training improvements.
  • Promote consistent use of company systems while recognizing legitimate operational differences between departments and locations.

Data, Reporting & System Administration

  • Assist with user setup, access changes, permissions, dashboards, templates, and other routine administration for assigned systems.
  • Work with Human Resources and department leaders to help ensure system access is appropriately added, modified, or removed as responsibilities change.
  • Assist in creating and maintaining reports, dashboards, and system-generated information used by operational and company leadership.
  • Support data quality by identifying incomplete, inconsistent, or duplicate information and coordinating corrective action.
  • Follow company requirements for protecting confidential, employee, financial, and operational information.
  • Coordinate with outside IT, cybersecurity providers, software vendors, or technical specialists when an issue requires expertise beyond the role’s scope.

Vendor & Technology Support

  • Serve as a day-to-day coordination point for assigned software vendors and implementation partners.
  • Participate in software demonstrations, discovery meetings, implementation calls, and vendor training.
  • Research technology solutions and summarize functionality, implementation considerations, support requirements, and costs for leadership review.
  • Track vendor support requests and follow through on open issues.
  • Assist with tracking licenses, user counts, renewals, implementation expenses, and other technology-related information.
  • Stay curious about emerging technology, including automation and AI-enabled tools, and identify practical opportunities for the company to evaluate.
  • Perform other related duties and technology projects as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Bachelor’s degree in Information Systems, Information Technology, Business Administration, Computer Information Systems, Project Management, Data Analytics, or a related field. Recent graduates are encouraged to apply.
  • Internship, academic project, campus employment, or other practical experience involving technology, business systems, project coordination, process improvement, data, or user support is preferred but not required.
  • Strong technology aptitude and genuine interest in learning new software platforms and business systems.
  • Strong organizational skills with the ability to track details, deadlines, action items, and multiple priorities.
  • Demonstrated problem-solving ability and willingness to research unfamiliar issues before escalating them.
  • Ability to communicate clearly and professionally with employees, leaders, vendors, and technical partners.
  • Ability to explain technology in practical terms to users with varying levels of technical comfort.
  • Strong written communication and documentation skills.
  • Comfort working independently while asking questions and seeking guidance when appropriate.
  • Proficiency with Microsoft 365 and comfort learning cloud-based business applications.
  • Ability to travel to company locations as needed.
  • Ability to pass required background and drug-testing requirements.

Preferred Qualifications

  • Coursework, internship, or project experience involving software implementation, systems analysis, business process improvement, project management, data analytics, or information systems.
  • Exposure to workflow automation, system integrations, reporting tools, dashboards, databases, or data migration.
  • Experience creating training materials, process documentation, SOPs, presentations, or user guides.
  • Experience supporting or training users on technology.
  • Familiarity with AI tools, automation platforms, or low-code/no-code technology.
  • Interest in tourism, hospitality, transportation, maritime operations, or other operationally complex industries.

Success in the First 12 Months

  • Develop a working understanding of the company’s core business systems, operating structure, and major technology priorities.
  • Successfully coordinate assigned portions of at least one significant technology implementation or optimization initiative.
  • Create reliable system and process documentation that can be used by employees and future system administrators.
  • Build positive working relationships with department leaders, end users, vendors, and outside technical partners.
  • Demonstrate increasing independence in system administration, troubleshooting, training, and project coordination.
  • Identify and help implement practical improvements that reduce manual work, improve data quality, or increase adoption of existing technology.

Work Environment & Physical Demands

  • Work is primarily performed in an office environment with regular interaction across company departments and locations.
  • Travel to other company locations may be required for implementations, training, process evaluation, or project support.
