Position Overview:
 
The Business Support Coordinator plays a critical role in enabling operational alignment and execution across multiple brands within the healthcare ecosystem. This position is responsible for integrating disparate processes into unified workflows, providing cross-brand administrative support, and driving operational consistency through KPI development, performance tracking, and continuous process improvement. The role requires strong project management capability, exceptional attention to detail, and the ability to operate independently while collaborating with diverse internal stakeholders. 

What You'll Do:

  • Support integration of multiple brands into standardized, unified operational processes and workflows
  • Partner with stakeholders across brands to document current processes, identify gaps, and implement aligned, scalable solutions that meet quality and regulatory standards in healthcare continuing education
  • Provide administrative and operational support to ensure continuity and consistent execution across brands
  • Coordinate schedules, documentation, deliverables, and task tracking for concurrent initiatives
  • Maintain accurate records, documentation, and reporting in designated systems
  • Collaborate with brand and functional leaders to identify best practices and define meaningful operational KPIs
  • Track, monitor, and report progress against KPIs and performance targets
  • Develop and execute corrective action plans when targets are missed
  • Identify operational bottlenecks, inefficiencies, and risks in existing workflows
  • Propose and help implement process improvements to boost efficiency, accuracy, and cycle time
  • Validate and monitor results after changes are rolled out
  • Manage multiple operational and administrative projects at once, meeting deadlines and delivering high-quality outcomes
  • Create and maintain project plans, timelines, and regular status updates
  • Proactively handle risks, dependencies, and competing priorities with minimal supervision
  • Support rollout of new processes and workflows across brands
  • Develop and deliver training materials and sessions to drive successful team adoption
  • Act as the go-to contact for process questions and continuous improvement feedback
  • Summarize progress, outcomes, and risks for leadership and cross-functional stakeholders
  • Prepare clear, concise reports and presentations on operational performance and project status
  • Maintain consistent communication across brands to ensure alignment and transparency
  • First 90 days focus
    • Audit and document current workflows for three primary brands
    • Build a centralized project tracking dashboard in Monday.com
    • Identify and prioritize the top three operational bottlenecks delaying program delivery

What You'll Need to Succeed:

  • Bachelor’s degree or equivalent professional experience in business administration, operations, healthcare, education, or a related field
  • Demonstrated project management experience in cross-functional or multi-brand environments
  • Proven track record of successfully managing multiple projects simultaneously and meeting deadlines
  • Exceptional attention to detail with a strong commitment to accuracy and quality
  • Strong collaboration and interpersonal skills; ability to work effectively with diverse teams
  • Comfort working independently, prioritizing well, and operating with minimal guidance
  • Excellent written and verbal communication skills
  • Proficiency with project management and collaboration tools (e.g., monday.com, Microsoft Office, SharePoint)
  • Experience working in healthcare, continuing education, or other regulated environments
  • Familiarity with KPI development, performance measurement, and continuous improvement methodologies (Lean, Six Sigma, etc.)
  • Prior involvement in process integration, operational transformation, or multi-brand standardization initiatives
  • Process-driven and analytical mindset
  • Strong organizational and time management skills
  • Change management and stakeholder engagement capabilities
  • High accountability and ownership of outcomes
  • Adaptability in a fast-paced, deadline-driven environment
  • Effective conflict resolution skills
