Job Overview:

Reporting directly into the PMO leadership, the Business Readiness Coordinator tracks, analyzes, and coordinates all readiness activities across five core dimensions: User Readiness, Process Readiness, Organizational Readiness, Leadership Readiness, and Support Readiness. This individual acts as the central connective tissue between implementation partners (e.g., Cognitus), functional workstream leads, change management teams, and plant-level front-line supervisors to ensure our 85%+ readiness gate criteria are achieved prior to cutover.

Key Responsibilities:

Business Readiness Governance & Metric Tracking

  • Maintain and update the Business Readiness Master Scorecard across all five operational dimensions, tracking KPIs such as training completion, UAT participation, SOP updates, and role transition acknowledgments.
  • Monitor metric burn-down rates, identify areas tracking below readiness thresholds (e.g., <85%), and immediately flag schedule risks to the PMO and Change Management leads.
  • Administer the project’s central tracking architecture in monday.com, maintaining linked boards (Master Governance, Remediation Actions, and Plant-Specific Trackers), automated status triggers, and executive dashboard views.
  • Compile and prepare weekly readiness presentation decks and briefing materials for the Project Carmenta Steering Committee and operational gate reviews.

Change Management & Training Program Logistics

  • Coordinate end-user training schedules across corporate offices, distribution centres, and multiple plant locations across various production shifts.
  • Track end-user training registration, attendance, and assessment scores, coordinating with plant HR and operations supervisors to schedule makeup sessions for non-attendees.
  • Partner with the Change Management team to monitor Organizational Readiness, ensuring role impact assessments and updated job descriptions are delivered, acknowledged, and validated by department heads.
  • Coordinate logistics for cross-functional workshops, train-the-trainer sessions, and Super User network syncs.

Process Validation & User Acceptance Testing (UAT) Support

  • Collaborate with business process owners (BPOs) and subject matter experts (SMEs) to track the authoring, review, and formal sign-off of revised Standard Operating Procedures (SOPs) and work instructions.
  • Assist in tracking user participation and defect resolution during UAT cycles, ensuring test scripts reflect daily manufacturing and commercial workflows.
  • Coordinate cross-functional documentation sign-offs across manufacturing, quality assurance, warehouse/logistics, and financial accounting.

Cutover, Hypercare & Site Enablement

  • Support the execution of plant-level cutover checklists, ensuring shift supervisors and warehouse leads have access to required hardware (e.g., RF scanners, barcode printers, plant-floor terminals) and active SAP credentials.
  • Track post-go-live operational stabilization metrics to ensure rapid transition to steady-state operations and ongoing continuous improvement.

The Recipe for Success:

  • Bachelor’s degree in Business Administration, Operations Management, Supply Chain, Information Technology, or a related field (or equivalent practical experience).
  • 2–4 years of experience within a Project Management Office (PMO), enterprise systems transformation, change management, or business operations environment.
  • Must have a strong working proficiency with MS Office
  • Must have strong knowledge of data privacy laws
  • Advanced organizational skills and documentation skills with precise attention to detail
  • Good at documentation, budgeting and overall project management
  • Strong interpersonal skills to work collaboratively within a team environment
  • Proficiency with work management and PMO platforms (specifically monday.com, MS Project, or Jira).
  • Advanced Microsoft 365 skills (Excel for pivot tables and data modeling; PowerPoint for executive-ready slide creation; SharePoint for document governance).
  • Familiarity with enterprise collaboration tools (MS Teams, Power BI dashboards).
