The Role
Description

AIRS Medical Europe GmbH is the newly founded European arm of AIRS Medical Inc., a healthcare AI innovator. AIRS Medical is at the forefront of healthcare innovation, leveraging cutting-edge AI technology to transform medical imaging. The Europe team is very small (8 people) and fully remote across EMEA, so the Business Operations Manager will play a key role in building our processes and supporting our growth. This is a full-time role based in EU (with remote work flexibility) reporting to the Managing Director.

Key Responsibilities

  • Salesforce & CRM Management: Own the company’s Salesforce CRM data and processes. Work closely with Sales, BD, Marketing and CSM teams to ensure all leads, opportunities and customer records are entered correctly and updated on time. Maintain data integrity (e.g. deduplication, validation) so that the CRM remains accurate and reliable. Liaise directly with account managers to resolve any data issues.
  • Reporting & Analytics: Generate actionable insights from our CRM and financial data. Extract, analyze and compile Salesforce data into clear reports and dashboards for the Managing Director and team. Create regular (e.g. weekly or monthly) reports on sales performance, pipeline status, and other KPIs, as well as ad-hoc analyses when needed. Use these reports to identify trends, opportunities or issues and recommend data-driven actions.
  • Define & Track Metrics: Help define the key performance indicators (KPIs) and success metrics for the Sales and BD teams. Work with leadership to set targets (e.g. revenue goals, conversion rates) and ensure the team’s progress is tracked against those metrics. In short, determine which business metrics matter most and build the dashboards to monitor them.
  • Sales Operations Support: Streamline the sales process and help the Sales/BD teams be more effective. For example, maintain the sales pipeline (updating stages, priorities, forecasting) and configure Salesforce to meet the team’s needs (custom fields, reports, dashboards). Design and maintain any sales operations tools (dashboards, opportunity trackers, etc.) that help sales reps and BD managers do their jobs. Constantly look for ways to automate or improve routine tasks (e.g. moving data or documents into Salesforce so reps spend less time on manual work).
  • Financial Operations: Assist with financial and billing processes. Responsibilities may include helping prepare invoices or credit memos, tracking billing status, and working with the finance team (or Managing Director) to ensure timely invoicing and accurate revenue tracking. You may also help with simple financial forecasting or budgeting tasks (e.g. updating a revenue forecast, tracking expenses against budget).
  • Cross-Functional Coordination: Act as the “operations hub” for the company. Coordinate with Marketing, Customer Success, and other teams when needed to ensure smooth operations. For example, ensure contracts and order data flow correctly into Salesforce, help onboard new clients or partners by managing administrative steps, and keep the Managing Director informed of any operational bottlenecks. Provide training or documentation to the team on any new tools or processes adopted.
  • Continuous Improvement: Identify inefficiencies and suggest process improvements. In a startup setting, responsibilities often shift, so be prepared to review current workflows and propose standard operating procedures or new tools. Strive for operational excellence in everything – if you see a better way to do something (in Salesforce, billing, reporting, etc.), take the initiative to implement it.
Requirements
  • Education & Experience: Bachelor’s degree or equivalent experience in business administration, finance, operations, or a related field. Previous experience in an analytical or operations role (such as Sales Operations, Business Analyst, or Operations Coordinator) is highly desirable. Experience in a start-up environment or small company is a plus. Healthcare or medical device industry experience is preferred, as familiarity with healthcare workflows and terminology will help you hit the ground running.
  • Technical Skills: Solid proficiency with CRM systems (Salesforce experience strongly preferred). Able to quickly learn new software tools (the candidate should adapt rapidly to new systems and processes ). Strong data structuring skills (or comparable spreadsheet/analysis tools) are important for data analysis. Experience with data visualization or BI tools (Tableau, Power BI, etc.) is a plus.
  • Analytical & Detail-Oriented: Excellent analytical thinking – you enjoy digging into data to find insights. Must be extremely detail-oriented and accuracy-focused; our team relies on your reports and data to make decisions, so errors must be minimized . Comfortable working with numbers and basic financial concepts (billing, revenue, budgeting).
  • Communication & Collaboration: Strong written and verbal communication skills in English are required. You will communicate data insights to non-technical stakeholders (including the Managing Director) and coordinate with team members across multiple countries. (German language skills are a plus, but not mandatory.) A team player attitude is essential – you will interface with Sales, BD, Finance, and other functions to get things done.
  • Fast Learner & Adaptable: As a young company, we use several software systems and our workflows will evolve. We expect the Business Operations Manager to be a quick study who can learn on the job and adapt to change . Enthusiasm for mastering new tools (especially Salesforce) and continuous improvement is critical.
  • Other Requirements: Must be legally authorized to work in EU. Full-time availability is required. Being organized and proactive is a must – you will often work independently to solve problems before anyone else even notices.
