Revamp is seeking a Business Development Specialist to establish and reinforce systems that empower our Client Services team to pursue impactful projects that meaningfully accelerate the renewable energy transition. You’ll help shape a smoother, more consistent pursuit experience by supporting proposals, keeping our tools and information organized, and helping us continually improve how we show up for clients and partners across the clean energy ecosystem. You will serve as the day-to-day owner of our proposal software and CRM, ensuring our systems are well-configured, consistently used, and generating actionable insights that help us win the right work and deliver the greatest impact.

This specialist role is suited to someone who combines deep technical fluency in marketing and proposal platforms with strong organizational instincts and an eye for quality. You'll work cross-functionally with the Client Services team, technical leads, and firm leadership to strengthen how we engage with clients, pursue new work, and measure success. You'll bring structure, repeatability, and polish to our external-facing activities, helping us win and deliver renewable energy projects that will deliver clean electricity for decades to come.

Duties & Responsibilities:Proposal Library + Template Management
  • Lead implementation, configuration, and ongoing management of PandaDoc as Revamp's primary proposal template platform, building the system from its current early stage into a fully operational tool for the Client Services team.
  • Build and maintain a library of proposal templates, content blocks, and reusable assets within PandaDoc, keeping materials current with evolving service lines and brand standards.
  • Train and support team members on PandaDoc workflows and template use.
  • Identify opportunities to improve proposal efficiency and consistency through PandaDoc automation and content governance.
CRM Administration
  • Own day-to-day administration of HubSpot, including contact and company records, pipeline configuration, pursuit tracking, and reporting.
  • Ensure data integrity across the CRM, developing and enforcing data hygiene standards and input protocols for the Client Services team.
  • Build and maintain dashboards and reports that surface win/loss trends, pipeline health, and activity metrics for leadership.
  • Coordinate integration of HubSpot with other platforms to support centralized pursuit visibility and cross-functional workflows.
Proposal Process Management
  • Manage end-to-end bid support for Project Managers, including development/software support and compliance review.
  • Maintain and continuously improve BD templates, boilerplate content, and project sheets to ensure accuracy, brand consistency, and usability across the team.
  • Support development of specialty proposals and pursuit presentations in collaboration with technical leads and the Client Services team.
Strategic Market + Service Development
  • Conduct research into market trends, client needs, and competitor positioning to inform go/no-go decisions and pursuit prioritization.
  • Collaborate with the other team members to develop marketing content around new markets or services.
Client Engagement + Experience
  • Manage the distribution, tracking, and synthesis of Client Experience Surveys to inform client development and service improvement efforts.
  • Maintain a standardized client appreciation process to reinforce long-term relationship building and brand loyalty.
  • Manage a long-term business development calendar to support contact outreach and management.
Database + Systems Management
  • Serve as the primary administrator for BD-related databases, ensuring records are accurate, complete, and consistently maintained.
  • Develop and document systems and processes for data management across proposal, CRM, and client engagement platforms.
  • Identify and address gaps in data capture, reporting, and platform utilization.
Writing + Content Support
  • Contribute original writing to proposal and pursuit materials, working alongside technical leads to translate complex engineering content into clear, compelling client-facing language.
  • Collaborate with team members to support technical content development for general marketing materials, including service line descriptions, case studies, and qualifications packages.
Additional Duties Include:
  • Perform essential duties including meeting deliverables and deadlines.

Knowledge, Skills, & Abilities:Required
  • 5+ years of experience supporting business development/proposal operations, CRM administration, or marketing operations.
  • Bachelor’s degree in marketing, communications, information systems, or a related field.
  • Demonstrated experience administering a CRM (HubSpot preferred), including data hygiene standards, pipeline/stage configuration, and basic reporting/dashboards.
  • Experience implementing or significantly improving a CRM or proposal platform (configuration, workflow design, templates/content governance, adoption/training).
  • Experience supporting proposal development tools and workflows (PandaDoc or similar preferred), including template/content management and user support.
  • Experience contributing to technical marketing content (service descriptions, case studies, qualifications packages) in a technical/B2B environment.
  • Exceptional written communication skills and editing judgment for client-facing proposal content.
  • Strong organizational skills, attention to detail, and the ability to manage multiple concurrent pursuits with changing deadlines.
  • Proven ability to manage complex projects, prioritize tasks, and work cross-functionally with executive stakeholders and subject matter experts.
  • Analytical skills: able to interpret pipeline/activity data and translate it into clear, actionable insights.
  • Confident self-starter with a systems mindset, strong follow-through, and comfort operating in a fast-paced, deadline-driven, remote work environment.
Preferred
  • AEC, professional services, or energy sector experience.
  • Advanced HubSpot experience (custom properties, lifecycle stages, automations/workflows, integrations, and report building).
