Business Coordinator, Budget Management
About the role:
The Administrative Assistant, Senior Support provides comprehensive administrative and secretarial services to the organization. This role supports senior executives by managing office operations, handling complex tasks, and engaging in strategic communications. By ensuring efficient office management and supporting various administrative functions, this role contributes to Takeda's mission.
How you will contribute:
- Support the development and management of detailed project and departmental budgets, ensuring alignment with organizational goals and initiatives.
- Monitor and report on vendor spend, ensure proper cost allocation, and flag risks associated with budget constraints.
- Partner with internal teams and Finance on monthly and annual financial programs. Serve as key point of contact for all contracts related to the enterprise programs, supporting ongoing program based agreements with global vendors
- Lead the end-to-end contract management process, including negotiating, drafting, executing, and ensuring adherence to agreements.
- Collaborate with legal, procurement, and compliance teams to ensure all contracts meet organizational policies and legal requirements.
- Establish and maintain a centralized database of contracts, ensuring timely renewals, terminations, or amendments as needed.
- Establish and maintain strong relationships with vendors, addressing any issues that arise during the contract lifecycle
- Proactively identify contracting issues, resolve escalations by team members and, where applicable, escalate contracting issues to internal stakeholders
Minimum Requirements/Qualifications:
- High school diploma/GED required. Associates degree preferred.
- 5+ years of experience in contract management or related fields
- Strong financial and analytical acumen with attention to detail.
- Capable of handling complex vendor relationship scenarios independently
- Significant experience independently communicating and coordinating with team members, vendors, finance, and legal teams
- Significant experience in drafting, reviewing, and negotiating commercial contracts and managing multiple vendors
- Experience with SAP Ariba preferred
- Excellent verbal and written communication skills

U.S. Hourly Wage Range:
$28.27 - $44.42
The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others.
