Responsibilities:
Security
- Serve as the Business Continuity Planning (BCP) coordinator for the Beijing, Hong Kong, and Tokyo offices, including ownership of incident management workflows and related internal/external tracking systems. Ensure BCP plans, call trees, vendor contacts, and recovery procedures remain current; partner with local leadership and Global Security to complete required updates. Facilitate an annual BCP review with each office to validate critical processes, document changes, and confirm readiness requirements are met.
- Maintain the BBH Tokyo office incident management guide (playbooks, escalation paths, and communications templates). Periodically review the guide for accuracy, incorporate lessons learned from incidents and drills, and ensure the latest version is accessible to key stakeholders when needed.
- Oversee physical security and access control for the Tokyo office, including badge/access provisioning, visitor procedures, and vendor escorting protocols. Coordinate comparable physical security and access control activities for the Hong Kong and Beijing offices in alignment with Global Security standards and local building requirements.
- Ensure specialty or limited-access areas have an assigned room owner and that ownership responsibilities are understood (access approvals, periodic reviews, and compliance with security requirements). When a room owner leaves the firm, partner with the appropriate department to assign a replacement and complete a documented handover of responsibilities and current access lists.
- Coordinate BBH business traveler information processes including maintaining traveler/itinerary reporting requirements, coordinating traveler support communications, and ensuring traveler-related data is handled and stored in accordance with firm standards and local requirements.
- Provide operational support to mailroom services and reception as needed, including coordination with vendors/building management, coverage planning, and escalation of security/safety-related issues identified through front-of-house activities.
Safety
- Manage intake and follow-up for internal and external workplace safety reports, including logging cases, coordinating investigations or corrective actions with local management and Global Security, and tracking closure to completion. Identify trends and recommend mitigation steps where appropriate.
- Maintain the BBH fire safety and disaster preparedness plan, including compliance with local requirements mandated for employers by the Fire and Disaster Management Agency. Serve as a certified Fire Warden (as required), keep required documentation up to date, and coordinate periodic reviews to ensure procedures reflect the current office footprint and staffing.
- Manage the program for BBH safety wardens and first aiders, including role assignments, onboarding/training coordination, and maintaining current rosters and contact lists. Ensure coverage levels meet local requirements and firm minimum standards.
- Plan and coordinate evacuation drills with the local building management team and internal stakeholders. Communicate drill details to staff in advance, prepare required notices/training materials, capture attendance and outcomes, and document lessons learned and any follow-up actions.
- Manage emergency supply stockpiles, ensuring inventory levels meet local city/prefecture requirements and firm standards. Perform periodic inventory checks with local senior management, replenish or supplement supplies as needed, and maintain vendor relationships (ordering, invoicing, and account administration) to keep emergency resources continuously available.
- Manage AEDs and first aid kits, ensuring equipment is inspected and maintained on a regular schedule in coordination with Global Security minimum requirements. Recommend and implement any additional inspections appropriate to local best practices and ensure replacement parts/consumables are ordered and documented.
- Maintain all required training and certifications needed to perform fire and first aid functions and any other assigned safety designations. Track renewal dates, schedule refresher courses as needed, and retain supporting documentation for audits or regulatory requests.
Health
- Participate in health and safety committees and serve as a certified HSE (Health, Safety, and Environmental) coordinator. Support committee agendas, track action items to closure, and help implement local initiatives aligned to firm standards (e.g., training, awareness communications, and workplace assessments).
General
- Support the activities of the Enterprise Services Division in Tokyo as well as across the Asia region. Provide back up support in Tokyo where needed to ensure the division can meet its service expectations.
Requirements:
- 5 years experience in a similar role
- Basic technical knowledge of access control systems and cite systems
- English skills both written and spoken
- CPR, first aid, health and safety training. Local training/ certification for disaster response.
