The Food Biosciences Business Unit of IFF is looking for an enthusiastic Business & Communications Assistant. The primary focus of this position is to support FB leaders with internal communications, key administrative tasks as well as event coordinators. The Business and Communications Assistant will champion good leadership behavior and demonstrate IFF Values in their approach to colleagues and work activities in general.

The desired candidate will report directly to the Global Product Marketing Director with a dotted line to the Senior Vice President and will be responsible for supporting the Food Biosciences Leadership team, working primarily in the foreign market (mainly EU area).

This position requires highly organized skills and the ability to work with multiple demands.

Criteria for Application:

· Place of Work: Milan, Italy. Hybrid work, 3 times a week at the office.

· Profile: Previous experience in internal communications or administration.

· Language: Highly proficient in both written and spoken English. Other languages are nice to have

KEY RESPONSIBILITIES & TASKS

Providing Business & Communication Assistance to the FB Leadership Team:

· Interface with customers for communication, meeting arrangements, and other specific needs

· Support customer visits to our sites, including agenda preparation, logistics, and presentations

· Draft internal communications

· Assist with event coordination, such as investor visits, internal innovation fairs, and other special events

Providing Administrative Support to the FB Leadership Team:

· Manage the SVP's calendar and appointments

· Assist the Leadership Team with scheduling meetings and travel arrangements

· Organize internal team meetings

· Prepare expense reports

· Perform office administration duties

· Communicate with materials suppliers and vendors

· Facilitate effective internal communications

REQUIREMENTS AND SKILLS

· The desired employee must have at least 3 years of previous experience in Administrative, Sales and Business Support roles.

· Expertise in Outlook, Word, PowerPoint, and Excel.

· Availability for international travel to support events is needed.

· Accuracy, dynamism and listening skills will be strongly appreciated.

· Excellent organizational and project management skills and ability to meet deadlines.

· Ability to work in a cross-cultural environment.

· Problem solver with can do attitude.

· Intellectual curiosity, a collaborative spirit, and a proactive attitude.

· You are a self-starter, a fast learner, and able to work independently.
