The Opportunity

We are seeking a proactive and highly organised Business Affairs Assistant to support the end-to-end delivery of advertising campaigns. This role manages a portfolio of clients while coordinating campaign workflows from initial instruction through clearance, delivery, and billing.

Working closely with clients, media planners, broadcasters, and internal teams, the successful candidate will ensure campaigns move efficiently through the advertising delivery process while meeting regulatory and broadcast requirements.

Key Responsibilities

Client & Relationship Management

• Manage a portfolio of clients, ensuring a smooth and efficient service
• Build and maintain strong relationships with clients, suppliers, media planners, and broadcasters
• Act as a key point of contact for Business Affairs queries

Copy Management & Clearance

• Manage copy rotations using Caria
• Coordinate clearance submissions and approvals through Clearcast and international regulatory bodies
• Ensure all campaigns meet broadcast and regulatory compliance requirements
• Set up and manage multi-channel distribution orders and delivery deadlines

Workflow Coordination

• Coordinate TV delivery workflows across clients, media planners, broadcasters, production companies, clearance bodies, and internal teams
• Monitor campaign progress and proactively resolve workflow issues
• Maintain clear communication across departments to ensure timely campaign delivery

Finance & Administration

• Support invoicing processes and respond to administrative queries
• Ensure billing adjustments are accurately recorded and communicated to the Billing team

General

• Undertake additional duties or training as required
• Support occasional out-of-hours work where necessary to meet campaign delivery deadlines

• Strong communication and interpersonal skills
• Highly organised with excellent attention to detail
• Ability to manage multiple projects and deadlines simultaneously
• Strong problem-solving ability
• Team-oriented with the ability to work collaboratively
• Comfortable liaising with multiple internal and external stakeholders
• Willingness to learn and develop knowledge of advertising and broadcast workflows
• Experience in media, advertising operations, or broadcast delivery is desirable but not essential
