Business Need / Purpose of Role:
The Administrative Services Coordinator is responsible for providing strong and reliable support to HR department in all HR related matters and other ad hoc projects. This role is also the main person in-charge of office administration to ensure day-to-day operations in the office are handled efficiently and in an organized manner.
Objectives & Measurement – Key Responsibilities
Office Administrator
- Management of minor maintenance and other services related with the office Rio
- Assistance with flights, hotel reservations and other services when it is needed.
- Focal Point for Building Administrators/Employees requests.
- Management of Cleaning Service.
HR Support Role
- Maintenance of HR System (BambooHR).
- Support and collaborate with HR Manager in HR tasks (recruitment, performance reviews, communications, reporting).
- Organization of internal events (i.e. celebrations, birthdays).
- Coordination with other departments about QHSSE requirements (clothing, PPE, office layout)
Other Tasks
- Support other departments outside of HR, for specific requests previously arranged with HR Manager/Business Partner.
Knowledge, Skills, and Abilities:
- Good interpersonal skill and able to interact with all levels of staff.
- Excellent organizational skills with keen attention to detail and the ability to prioritize multiple tasks in a high-pressure setting.
- Proven tact and discretion in handling sensitive and confidential information.
- Positive work attitude and display of initiative in problem solving.
- Ability to work independently and multi-task efficiently.
- Proficiency in HRIS systems and Microsoft Office applications.
- Must be detail oriented, highly organized and able to manage multiple priorities.
- Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
Education, Qualifications, Certifications, and Licenses
Education/Experience:
- High School diploma or GED equivalent required.
- Minimum of 2-3 years of experience in an HR support role, office management or administrative role
- Bilingual (English/Portuguese) preferred.
