Job Summary

Block Utilization Lead OR Coordinator
*Full time; 8:30am-5pm, Monday-Friday
*2+ years of Supervisory experience preferred
*EPIC experience preferred
*MS Office/ Excell experience preferred
*Will be responsible for monitoring block usage, identifying opportunities for improvement, and supporting data-driven decision-making to enhance OR efficiency and performance. Additionally, this position will support the Elective and Urgent Scheduling processes and team staffing shortages.

Minimum Qualifications

Education: Associates degree in Business or related field; in lieu of degree two (2) years of extensive working knowledge of patient access management; navigation and operations of an operating room or healthcare administrative functions in addition to the following qualifications

Licenses/Certifications: Current; Texas clinical licenses; Certified Healthcare Access Associate (CHAA) certification or any certification associated with operating room operations, patient access management, and/or healthcare administration preferred

Experience / Knowledge / Skills:

  • Three (3) years experience in administrative functions to include extensive customer service contact, financial management, supplies/equipment and/or hospital patient care experience, OR scheduling experience preferred

  • Working knowledge of medical terminology

  • Strong customer service management skills; ability to function well with minimum supervision

  • Excellent communication skills with an ability to assimilate information verbally and in writing in order to compose written correspondence;

  • Strong command of the English language and the ability to be clearly understood through verbal communication in face-to-face encounters and by telephone

  • Strong organizational, multi-tasking and critical thinking skills

  • Proficient in typing/keyboard skills advance computer skills, ability to function independently in various computer programs, including Excel

Principal  Accountabilities

  • Coordinates and maintains a variety of non-clinical and ancillary services including, but not limited to, scheduling/cancelling/modifying surgery cases, answering department telephones within system standards, obtaining patient demographics, unit related support functions.

  • Tracks and documents business office data, analyzes usage patterns and work across interdepartmental lines to ensure that services, supplies, equipment, and maintenance repair service needs are met as applicable to primary work area.

  • Receives/serves physicians/visitors/customers to create an environment of service; identifies, acknowledges and readily responds to customer needs; ensures eminent needs are met within 5 minutes of request as span of control allows.

  • Ensures appropriate patient/case flow by timely scheduling/rescheduling/cancelling of cases in computer system within 15 minutes of notification and notifying appropriate personnel of patient status with respect to department needs.

  • Identifies, communicate and facilitates resolution of department operational problems independently, collaborating with the manager to resolve complex problems

  • Collects and analyzes data related to department operational activities as directed by the Manager or Director to include, but not limited to, customer service, and productivity information

  • Assists with the preparation and distribution of the department work/holiday schedule related to staffing needs.

  • Monitors and ensures office supplies are available, obtained and stocked as determined/needed.

  • Assists with documenting, maintaining, implementation, communication, and support of departmental processes.

  • Effectively communicates/collaborates with other hospital personnel and customers

  • Works on special projects as designated by management.

  • Ensures safe care to patients, staff and visitors; adheres to all Memorial Hermann policies, procedures, and standards within budgetary specifications including time management, supply management, productivity and quality of service.

  • Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency; supports department-based goals which contribute to the success of the organization; serves as preceptor, mentor and resource to less experienced staff.

  • Demonstrates commitment to caring for every member of our community by creating compassionate and personalized experiences. Models Memorial Hermann’s service standards by providing safe, caring, personalized and efficient experiences to patients and colleagues.

Skills Required

  • Associates degree in Business or related field OR two years extensive working knowledge of patient access/OR operations/healthcare administrative functions
  • Current Texas clinical license(s)
  • Certified Healthcare Access Associate (CHAA) or related certification associated with OR operations/patient access/healthcare administration
  • Three years experience in administrative functions (customer service, financial management, supplies/equipment, hospital patient care)
  • OR scheduling experience
  • Working knowledge of medical terminology
  • Strong customer service management skills
  • Excellent written and verbal communication skills
  • Strong organizational, multi-tasking, and critical thinking skills
