Opportunity

The Billing Supervisor supports our billing professionals and Director of Billing and Accounts receivable in the Billing department by overseeing the daily activities of the firmwide billing department and ensure the accurate and timely completion of client billing activity, while enforcing firm policies and client guidelines, and preparing reporting for Sr. Leadership. The Billing Supervisor works independently with minimal supervision, utilizing extensive experience and judgment to effectively plan and achieve objectives. The Billing Supervisor will work together with the Client Arrangement & Compliance manager, Revenue manager and E-billing lead to look for opportunities for improvement.

Key Responsibilities:

As a member of the Billing Management Team, this position will partner very closely with peer Supervisors and Managers on their areas of responsibility and will set the tone for providing excellent client service and for ensuring a cohesive and collaborative team environment. The Billing Supervisor will handle the following responsibilities:

  • Collaborate with Billing department’s Management Team to supervise billing staff; recruit, train, evaluate and provide feedback as necessary. Develop staff through formal and informal coaching, appropriate assignments and the performance appraisal process.

  • Assist in developing and implementing billing policies and procedures as a collaborative effort with the Billing Management Team. Ensure conformity and adherence to established policies and procedures by all firm personnel.

  • Oversee the firmwide billing function including the distribution of prebills, aged WIP reports at the beginning of each month and the revision, editing, and adjustment of prebills in the preparation of draft and final bills.

  • Ensure proper and timely distribution of monthly prebills to appropriate billing professionals.

  • Oversee the new Billing Specialists training and on-boarding with proper coordination within the teams.

  • Oversee the internal and external billing audit process to ensure compliance with firm and client guidelines.

  • Work with staff, professionals and attorneys, practice coordinators and clients to resolve any billing issues, inquiries, and requests as they arise.

  • Manage month open and close. Assure all invoices, timecards and transactions have been properly recorded and updated.

  • Oversee and review billing exemption requests, time transfers, write-offs, and client refunds for compliance with firm and department policies.

  • Partner with billing staff, attorneys, practice coordinators and clients to review and address credit balances, overpayments and short-paid invoices.

  • Ensure billing and rate compliance within the team and escalate items that need attention to the Client Arrangement and Compliance team.

  • Assist billing staff with complicated allocation issues. Conduct detailed research and reconciliation of client accounts, payments, and unapplied cash as required.

  • Handle attorney, practice coordinator and client inquiries regarding billing information, monthly billing reports and invoices, provide information/reports as required.

  • Oversee and keep track of credit applications to clear retainer and/or on account balances.

  • Supervise implementation of established billing procedures for assigned attorneys; aid professionals and attorneys as required to facilitate bill preparation.

  • Prepare and/or assist in preparation of client bills in accounting system.

  • Oversee incoming requests sent to Team Inbox for prompt resolution and routing.

  • Aid the Director of Billing/AR with reporting and other projects as needed.

  • Address and escalate complex billing issues such as rate discrepancies, timekeeper approvals, and billing delays to appropriate teams for swift resolution.

  • Cultivate strong professional relationships with clients to enhance billing efficiency and accuracy.

  • Recommend and implement enhancements to billing processes to optimize efficiency and accuracy.

Qualifications:

  • Bachelor’s degree in accounting or finance required.

  • Prior supervisory experience strongly preferred.

  • Aderant experience strongly preferred.

  • At least five (5) years of relevant experience

  • Knowledge of basic accounting principles

  • Advanced knowledge of standard billing processes and procedures

  • Advanced knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)

  • Ability to work under tight deadlines and prioritize responsibilities while maintaining a high level of attention to detail.

  • Ability to work independently and under own direction and initiative

  • Excellent oral and written communications skills, including the ability to organize and present detailed and complicated information in an easily understandable format.

  • Ability to multi-task and prioritize the various aspects of the billing department.

  • Strong interpersonal and negotiating skills required to communicate effectively with all levels of firm personnel.

  • Ability to anticipate, identify, evaluate, and solve varied problems, as well as improve processes and efficiencies.

  • Ability to supervise accounting staff effectively.

The base annual pay range for this role is between $110,000-$135,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity.  A full range of medical, financial and/or other benefits dependent on the position will also be offered.
