The Role:

The Billing Specialist is responsible for accurate billing to the customer for work performed.  The Billing Specialist will process payments, maintain organized financial records, and calculate bill totals. Our ideal candidate is hardworking, pays attention to detail, and has a understanding of the billing process and procedures. This is an opportunity for a long term position and to join a growing company.

 

Responsibilities:

 

The essential functions include, but are not limited to the following:

    Reviews daily completed calls and ensures all completed calls are posted accordingly 

    Assists accounting to secure back-up information to verify correct billing, and corrects invoices if needed. 

    Reviews all invoices for accuracy per call type and customer contract. 

    Performs crediting of invoices where needed. 

    Approves all service and project invoices once any necessary corrections are made. 

    Reconciles invoices to ensure all invoices requiring adjustments have been completed, and all invoices have been approved by salesmen for customer delivery. 

    Provides ongoing mentoring and coaching regarding invoicing errors. 

    Identifies trends in invoicing processes and advises management accordingly to ensure all issues are properly addressed. 

    Monitors daily Orders Missing Freight report and ensures that all associated orders are within guidelines. 

    Ensures that billable orders include any ancillary charges such as freight and fuel surcharge. 

    Coordinates with Warehouse to correct equipment serial number. 

    Researches and assists in correcting equipment not showing at the proper inventory location. 

    Perform other duties as assigned.

Requirements and Skills: 

  • Strong verbal and written communication skills.
  • Intermediate computer skills to include MS Windows, Word, Excel, and Outlook with the ability to effectively learn and navigate proprietary call management systems.
  • Attention to detail is paramount.
  • Ability to work independently with little supervision.
