💼 Job Description

Do you have a strong eye for detail, excellent organizational skills, and a talent for solving problems? Are you comfortable working with numbers, processes, and multiple stakeholders?

As a Billing Specialist, you will play a key role in ensuring the smooth administrative and financial management of our language training programs. You will work closely with internal teams and clients across the French, Italian, German, and Moroccan markets, making sure registrations, changes, invoicing, and follow-ups are handled accurately and efficiently.

This is an international role where attention to detail, communication, and the ability to manage multiple priorities will be essential to your success.

🎯 Key Responsibilities
  • Oversee the registration and implementation of language training solutions for our clients' learners, working closely with the Customer Success, Registration, and Group Lessons teams to ensure a smooth experience.

  • Manage changes throughout the training period, including credit transfers, deadline extensions, and other client requests.

  • Act as a key point of contact for billing and administrative requests from clients and internal teams, ensuring timely and accurate follow-up.

  • Identify and escalate significant issues or client needs to the relevant Customer Success Manager or Account Executive.

  • Prepare and share administrative and billing reports with internal teams.

  • Provide relevant insights to the Learning Consultant team to help improve learner engagement and program performance.

  • Review and validate pre-invoices on a bi-weekly basis, ensuring accuracy before they are sent to clients.

  • Send invoices through the appropriate channels and follow up on outstanding payments by email and phone.

  • Collaborate with internal teams to identify discrepancies, resolve billing issues, and continuously improve administrative processes.

  • Previous experience in an administrative, billing, finance, or customer operations role.

  • Additional languages such as French, Italian, German, Spanish, or Arabic are a strong plus.

  • Good command of Microsoft Office, particularly Excel, and/or Google Workspace, particularly Google Sheets.

  • Strong communication and collaboration skills.

  • A proactive and solution-oriented mindset, with the ability to anticipate potential issues.

  • Ability to manage multiple tasks and priorities while maintaining a high level of accuracy.

  • Comfortable working in an international and fast-paced environment.

🕐 Working Conditions
  • Monday to Friday, 9:00 a.m. to 6:00 p.m.

  • One remote working day per week after 3 months.

  • This position follows the public holidays of the assigned market (French, German, Italian, or Moroccan).
