We are seeking an organized, detail-oriented Scheduling Coordinator to join our team. This role is essential in ensuring that clients, staff, and programs operate smoothly by managing schedules, coordinating appointments, and providing outstanding customer service. Monday-Friday 8:30am-5:00pm

Job Summary

The Scheduling Coordinator is responsible for managing and organizing daily schedules to ensure smooth and efficient operations across the organization. This role serves as a key point of contact for clients, staff, and program teams, coordinating appointments, communicating schedule changes, and resolving conflicts with professionalism and accuracy. The Scheduling Coordinator helps maintain seamless service delivery by ensuring that schedules are updated, accurate, and aligned with operational needs. Strong communication, attention to detail, and customer service skills are essential to success in this role.

Key Responsibilities

  • Schedule and manage appointments for clients, staff, and programs using the organization’s scheduling system.
  • Confirm, update, and adjust schedules daily to ensure efficiency and proper coverage.
  • Communicate scheduling changes, reminders, and updates to clients and team members promptly.
  • Collaborate with program staff, clinicians, and administrative teams to meet scheduling needs.
  • Respond to phone calls, emails, and requests related to scheduling with professionalism and courtesy.
  • Maintain accurate records and documentation related to appointments and staffing schedules.
  • Troubleshoot and resolve scheduling conflicts or issues as they arise.
  • Support front office operations as needed to maintain smooth workflow.

Requirements

Scheduling Coordinator Job Requirements:

  • High school diploma or GED required.
  • Associate's degree preferred.
  • 2–4 years of scheduling, patient access, or office experience experience required.
  • Knowledge of insurance verification, authorizations, and behavioral health service delivery is a plus.
  • Bilingual proficiency in English and Spanish, with strong reading and writing skills.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite; experience with electronic health records (EHR) preferred.
  • Excellent interpersonal and communication skills with the ability to de-escalate situations and support patients with compassion.
