We are seeking an experienced, organized, and detail-oriented Bilingual Personal Injury Legal Assistant to join our growing team.

Personal injury law firm experience is required for this position. Candidates must have a strong understanding of personal injury case workflows, medical records, insurance claims, client communication, and pre-litigation processes.

Fluency in both English and Spanish is also required, including strong written and verbal communication skills.

This position is open exclusively to candidates located outside of the United States.

Position Overview

The Bilingual Personal Injury Legal Assistant will provide administrative and case support to attorneys, paralegals, and case managers handling personal injury matters.

The ideal candidate will have hands-on experience working in a personal injury law firm and understand the day-to-day processes involved in managing personal injury cases. This role requires excellent organization, attention to detail, communication skills, and the ability to manage multiple priorities in a fast-paced remote environment.

The successful candidate will be proactive, dependable, resourceful, and comfortable working independently while collaborating with legal professionals supporting U.S.-based personal injury law firms.

Key Responsibilities
Personal Injury Case Support
  • Provide daily administrative and case support to attorneys, paralegals, and case managers.
  • Maintain accurate and organized electronic case files.
  • Review, organize, and upload medical records, billing statements, police reports, insurance information, and other case-related documentation.
  • Track case deadlines, treatment updates, records requests, and outstanding documentation.
  • Prepare case summaries, timelines, chronologies, and other supporting documentation.
  • Assist with pre-litigation case management and case progression.
  • Update and maintain accurate case information in the firm’s case management system.
  • Monitor case tasks and follow up on outstanding items to help keep cases moving forward.
Medical Records & Provider Coordination
  • Request medical records and billing from healthcare providers and medical facilities.
  • Follow up on outstanding or incomplete records and billing requests.
  • Request police reports, insurance information, and other supporting documentation.
  • Communicate with medical providers regarding missing or incomplete documentation.
  • Review records and documentation for accuracy and completeness.
  • Maintain organized medical records and billing within the case management system.
Insurance & Claims Support
  • Gather and organize insurance and claim information.
  • Communicate with insurance companies and adjusters as directed by the legal team.
  • Track claim-related correspondence, documents, and updates.
  • Assist case managers and attorneys with documentation needed for settlement and demand preparation.
  • Maintain accurate records of insurance information and claim status.
Client Communication
  • Communicate professionally and compassionately with personal injury clients in both English and Spanish.
  • Gather case information and provide updates as directed by the legal team.
  • Respond to routine client questions and concerns.
  • Escalate issues to attorneys, paralegals, or case managers when appropriate.
  • Maintain professional and positive relationships with clients throughout the case.
  • Protect confidential client and case information at all times.
Administrative & Document Support
  • Manage calendars, appointments, deadlines, and assigned tasks.
  • Schedule client meetings, consultations, medical appointments, and other case-related appointments.
  • Monitor emails and ensure timely follow-up.
  • Coordinate communication between clients, attorneys, case managers, medical providers, and insurance representatives.
  • Draft, proofread, edit, and format legal correspondence and case-related documents.
  • Prepare letters, forms, requests, and other case documentation.
  • Perform quality control reviews to ensure case files and documents are complete and accurate.
Requirements
Required Qualifications
  • Previous experience working in a personal injury law firm is required.
  • Minimum of 1 year of experience as a Legal Assistant or in a related personal injury legal support role.
  • Fluent in both English and Spanish, written and verbal.
  • Strong understanding of personal injury case workflows and pre-litigation processes.
  • Experience working with medical records, medical billing, insurance claims, and/or healthcare providers.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage multiple cases, tasks, and competing priorities.
  • Ability to work independently while maintaining productivity and accountability.
  • Professional and compassionate approach to client communication.
  • Reliable high-speed internet connection and professional remote work environment.
  • Must be located outside of the United States.
  • Must be available to work during U.S. Mountain Time business hours.
Preferred Qualifications
  • Experience as a Personal Injury Legal Assistant, Case Manager, Intake Specialist, Records Specialist, or Paralegal.
  • Experience directly supporting personal injury attorneys and case managers.
  • Experience with personal injury demands, settlements, medical records, billing, and insurance claims.
  • Familiarity with legal case management software such as Filevine, CasePeer, Litify, Clio, Needles, or similar platforms.
  • Proficiency with Microsoft Office, Google Workspace, and cloud-based collaboration tools.

Important Requirements

Please note: Personal injury law firm experience and bilingual English/Spanish fluency are both required for this position. Candidates who do not have personal injury experience and/or are not fluent in both English and Spanish will not be considered.
