Position Summary
The Benefits & Leave Coordinator is responsible for the day-to-day administration of the Company's leave of absence and employee benefits programs. This role serves as the primary operational resource for leave administration while supporting benefit billing, payroll deductions, benefit arrears, and routine employee benefit administration. Working closely with the Benefits Director, the Coordinator partners with employees, Payroll, HR, carriers, and third-party administrators to ensure timely and accurate administration of leave and benefits.
Essential Responsibilities
Leave Administration
• Serve as the primary contact for employee leave of absence questions.
• Administer FMLA, ADA accommodations, Personal Leave of Absence (PLOA), Military Leave, ShortTerm Disability (STD), Long-Term Disability (LTD), and applicable state leave programs.
• Coordinate leave administration with Lincoln Financial and other leave administrators.
• Track leave requests, certification deadlines, approvals, return-to-work dates, and required documentation.
• Prepare leave correspondence and maintain confidential leave records.
• Coordinate return-to-work documentation and communicate leave updates with employees, managers, HR, Payroll, and third-party administrators.
• Monitor benefit continuation while employees are on leave and escalate complex issues to the Benefits Director.
Benefits Billing, Payroll & Arrears Administration
• Reconcile monthly carrier invoices with enrollment records.
• Audit payroll benefit deductions for accuracy.
• Research and resolve billing discrepancies.
• Track employee benefit arrears and prepare repayment schedules.
• Coordinate arrears repayments and retroactive premium adjustments with Payroll.
• Monitor employee premium payments while on leave.
Employee Benefits Support
• Respond to routine employee benefit inquiries.
• Process new hire enrollments, qualifying life events, benefit changes, and terminations.
• Assist employees with medical, dental, vision, life, disability, HSA, FSA, COBRA, EAP, and 401(k) questions.
• Assist with carrier website registrations, ID card requests, and maintain benefit records in the HRIS.
• Support annual Open Enrollment and monitor the Benefits inbox.
Workers' Compensation Support
• Serve as a backup resource to HR Business Partners for Workers' Compensation administration.
• Assist with coordinating Workers' Compensation leaves concurrently with FMLA, ADA, Personal Leave of Absence, or other applicable leave programs when appropriate.
• Monitor leave coordination, benefit continuation, and payroll impacts for Workers' Compensation cases.
Required Qualifications
• 3+ years of experience administering leave of absence and employee benefit programs.
• Strong working knowledge of FMLA, ADA, COBRA, disability, and leave administration.
• Experience working with third-party leave administrators (Lincoln Financial or similar preferred).
• Experience with benefit billing reconciliation, payroll deductions, and employee benefit arrears.
• Experience using HRIS and benefits administration systems (UKG preferred; other HRIS experience accepted).
• Strong organizational, communication, and customer service skills.
Preferred Qualifications
• Experience supporting a multi-state workforce.
• Professional HR or Benefits certification (SHRM-CP, PHR, CEBS) is a plus.
