The Benefits Administrator supports the day-to-day administration of the company’s employee benefit programs, including health, dental, life insurance, short- and long-term disability, flexible spending accounts, employee assistance program, paid leave programs, and the 401(k) plan. This position helps ensure benefit plans are administered accurately, consistently, and in accordance with plan documents, vendor requirements, and applicable federal and state regulations. The role provides administrative and technical support, delivers responsive customer service to employees, manages day-to-day FMLA processes, and serves as backup support for workers’ compensation administration.

Essential Functions

    1. Administer daily benefit processes, including enrollments, terminations, life event changes, eligibility updates, payroll deduction changes, and resolution of benefit discrepancies.

    2. Maintain accurate benefit data across enrollment, payroll, HRIS, 401(k), and vendor systems; ensure demographic and eligibility data is updated and transmitted in a timely.

    3. Prepare detailed reports related to plan data, employee participation, eligibility, deductions, and other benefit-related metrics as requested.

    4. Review premium calculations, accruals, payroll deductions, and vendor billing to ensure accuracy and timely correction of discrepancies.

    5. Reconcile monthly benefit premium reports to vendor invoices and coordinate timely and accurate payment of invoices.

    6. Partner with HR, Payroll, Finance, HRIS, vendors, consultants, and other business partners to maintain accurate benefit reconciliations and resolve benefit-related issues

    7. Coordinate and support benefit plan audits, including gathering documentation, reviewing data, and responding to audit requests.

    8. Support new hire benefit enrollment and annual open enrollment processes, including system testing, employee communications, presentations, and follow-up.

    9. Conduct benefit orientations and open enrollment presentations for employees.

    10. Advise employees on benefit policies, programs, procedures, eligibility, enrollment, and general plan interpretation.

    11. Serve as a liaison between employees, insurance providers, benefit vendors, consultants, and internal departments to resolve benefit questions, claims issues, and coverage concerns.

    12. Work with HRIS and Benefits leadership to implement system enhancements, plan changes, and new benefit programs.

    13. Administer day-to-day FMLA and leave processes, including requests, approvals, denials, expirations, tracking, communications, deadlines, and maintenance of compliant leave files.

    14. Monitor applicable benefits and leave legislation, including FMLA and state leave requirements, and escalate compliance considerations as appropriate.

    15. Provide back-up support to the Workers’ Compensation Administrator as needed.

    16. Perform other duties as assigned by the Benefits Director.

Job Requirements

    1. Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

    2. Three to five years of related experience in employee benefits administration required or strongly preferred.

    3. Experience administering health and welfare plans, retirement plans, leave programs, and vendor invoice reconciliation preferred.

    4. Experience with benefit administration systems, HRIS platforms, payroll systems, and 401(k) systems preferred.

    5. Knowledge of applicable benefit and leave regulations, including FMLA, state leave laws, COBRA, HIPAA, ACA, ERISA, and related compliance requirements preferred.

    6. Strong attention to detail, accuracy, follow-through, and organizational skills.

    7. Advanced PC skills, including Microsoft Excel; experience with BenefitPlace and UKG Pro is a plus

    8. Ability to prioritize multiple tasks, meet deadlines, and manage confidential information with discretion.

    9. Excellent customer service, written communication, documentation, and presentation skills.

    10. Strong analytical and problem-solving skills with the ability to research discrepancies and recommend resolutions.

    11. Working knowledge of commonly used concepts, practices, and procedures within employee benefits administration.

    12. Ability to work independently under general supervision while collaborating effectively as part of a team.
