Job Overview:

We are seeking a highly analytical and tech-savvy Automation and Data Optimization Specialist to join our dynamic team. This role is pivotal in driving operational efficiency by automating workflows, optimizing data management, and enhancing business intelligence. You will leverage cutting-edge automation tools (Zapier, Make, API integrations) and advanced data analytics (Excel, SQL, BI tools) to streamline processes, improve decision-making, and ensure seamless client interactions in a fast-paced fitness and lifestyle coaching environment.

The ideal candidate is a problem-solver with a strong technical background, excellent communication skills, and a passion for optimizing systems. You will bridge the gap between technology and business operations, ensuring smooth automation, accurate reporting, and scalable solutions.

Key Responsibilities:

Workflow Automation & System Integration:

  • Design, build, and maintain automated workflows using Zapier, Make (Integromat), or similar tools to connect platforms (e.g., Zoom, Attractwell, Hubfit, payment processors, scheduling systems).

  • Develop API/webhook integrations to enable seamless data flow between business applications.

  • Optimize client onboarding, payment processing, and scheduling automation to reduce manual work.

  • Troubleshoot and debug automation errors, ensuring minimal downtime.

Data Management & Business Intelligence:

  • Build dynamic dashboards in Excel, Google Sheets, or BI tools (Power BI, Tableau) to track KPIs (client retention, revenue, engagement metrics).

  • Develop automated reporting systems with real-time alerts for critical business metrics.

  • Implement data validation and cleansing processes to ensure accuracy in client records.

  • Use SQL to query databases and extract insights for strategic decision-making

Client Support & Compliance:

  • Provide technical support for automation-related issues, ensuring smooth client interactions.

  • Monitor client compliance with program guidelines and automate follow-ups for engagement tracking.

  • Ensure data security and privacy compliance (HIPAA/GDPR, if applicable).

Process Improvement & Documentation:

  • Identify bottlenecks in business operations and propose automation-driven solutions.

  • Maintain detailed technical documentation for workflows, integrations, and data processes.

  • Train team members on new automation tools and best practices.

Skill Sets Required / Preferred:

  • Bachelor’s degree in one of the following fields: Computer Science / Information Technology, Data Science / Business, Analytics, Engineering (Industrial, Systems, or Software), Management Information Systems (MIS), Mathematics/Statistics (with technical coursework), or equivalent practical experience (3+ years in automation/data roles).

  • Associate degree/diploma in a technical field + 2+ years of hands-on automation/data experience.

  • Proficiency in Zapier and similar workflow automation tools.

  • Advanced knowledge of Excel, including data analysis and visualization.

  • Strong communication skills with the ability to explain technical concepts in simple terms.

  • Experience in customer support or client-facing roles is a plus.

  • Detail-oriented with excellent organizational skills and a proactive mindset.

Skills Required

  • Bachelor's degree in Computer Science, IT, Data Science, Analytics, Engineering, MIS, Mathematics/Statistics or equivalent practical experience
  • 3+ years of hands-on automation and data experience
  • Proficiency with Zapier and similar workflow automation tools (Make/Integromat)
  • Experience developing API and webhook integrations
  • Advanced Excel skills including data analysis and visualization
  • Experience with SQL and BI tools (Power BI, Tableau, Google Sheets dashboards)
  • Strong communication skills and ability to explain technical concepts to non-technical stakeholders
