Job Description

Primary Responsibilities: The Audit Control Specialist is primarily responsible for auditing the daily activities of the leasing operations and paperwork following company policies and standards. This role will assist with developing and improving the efficiency and audit controls for leasing.  

 

Skills & Competencies: 

  • Associate degree in Business; or related experience and/or training; or equivalent combination of education and experience.  

  • 2+ years of multi-family and/or single-family rental homes experience  

  • 1 – 2 yrs. Leasing Experience  

  • Knowledge of fair housing and local real estate laws, where applicable.  

  • Intermediate knowledge of Word, Excel, and PowerPoint; advanced preferred  

  • Demonstrated strong written and verbal communication skills 

  • Demonstrated customer service skills in a fast-paced environment 

  • Detail-oriented, with the ability to produce high-quality work in a deadline-oriented environment and an ability to multi-task 

  • Ability to prove critical thinking and problem-solving concepts 

  • Ability to thrive in a high volume, data entry, and processing work environment, where applicable  

  • Experience working in a work schedule environment, including in-office operations, weekends, and holidays, based on business needs.  

 

Essential Job Functions: 

  • Develop and oversee leasing controls to prevent violations of Fair Housing and internal policies.  

  • Ensure accurate and timely processing of all paperwork processed by the team.  

  • Keep abreast of developments within Maymont Homes or outside of the company as well as evolving best practices in compliance control.  

  • Responsible for creating and maintaining a lease compliance procedures, guidelines, and controls manual, and communication to the leasing team for changes in such.  

  • Manage the Maymont Homes Calendar Report  

  • Managing move-ins daily  

  • Keep the team apprised of updated leasing policies & procedures.  

  • Assist Leasing Admin Assistants with questions regarding leasing paperwork and processes.  

  • Ensure the most up-to-date company forms are submitted for the Ops Resource Portal.  

  • Ensure compliance with all processes, procedures, and requests  

  • Audit Leasing Processing work for data integrity.  

  • Ensure daily completion of move-ins on the calendar report.  

  • Ensure monthly completions of move-outs by markets.  

  • Continually evaluate the process to determine inefficiencies and work together with the Director of Lease Administration.  

  • Review the lease paperwork of Leasing Administrative Assistants, when necessary, to identify compliance issues and provide metrics to the Director of Lease Administration.  

  • Evaluating the efficiency of leasing controls and improving them continuously.  

  • Conduct internal lease audits.  

  • Quarterly Audit on rental applications and other internal leasing process  

  • Assist with developing an audit process for the leasing function.  

  • Assist with periodic reporting and projects as needed.  

  • Collaborate with the Director of Lease Administration to monitor the enforcement of policy and procedures.  

  • Managing and overseeing the internal Calendar Report  

  • Prepare reports for Senior Management as appropriate  

  • Revising procedures, reports, etc. periodically to identify hidden risks or non-conformity issues  

  • Other duties, as assigned by supervisor or leadership team.

  • Improve internal controls surrounding leasing paperwork.  

  • Increase productivity and efficiency.  

  • Decreased missing leasing paperwork.  

  • Number of total errors identified.  

  • Number of repeat findings.
