Mauldin & Jenkins is seeking an Audit Administrative Assistant at our Metairie office. The successful candidate will be personable, professional, and adept at multitasking in a deadline-driven environment while maintaining superior attention to detail and accuracy. Strong organizational, time management, and communication skills are a necessity – along with sensitivity to confidential matters.
The primary responsibilities include but are not limited to:
- Responsible for accurately composing correspondence such as reports, memorandums, departmental notes, engagement letters, and other documents as assigned
- Handling confidential financial information for clients
- Following internal processes to ensure quality control
- Schedules meetings and departmental activities
- Management of client electronic databases
- Attending departmental meetings and preparing notes
- Departmental travel arrangements when needed
- General office duties such as ordering supplies, processing incoming and outgoing mail, maintaining files and records, and distributing information as needed
The following skills are needed for this role:
- Experience in public accounting or professional services firm is preferred but not required
- Proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Proficiency with Adobe Acrobat (creating and editing PDF files)
- Experience with Google Workspace (Gmail, Drives, Docs, Sheets, Calendar)
- Strong organizational skills and attention to details
- Experience in prioritizing work to meet deadlines, ensuring appropriate follow-up and closure in a fast-paced, time-sensitive team environment
- Experience in working with a team across multiple offices
- Strong communication skills
- Strong typing and proofreading skills
- Flexibility to work additional hours as needed during busy seasons
