Job Description

The Attendance Tracker is responsible for maintaining accurate attendance records, conducting outreach to verify attendance and participation, and supporting operational reporting and document management activities. This role requires strong attention to detail, organizational skills, and the ability to handle confidential information in a professional manner. 

  • Accurately enter and maintain data within State and internal tracking systems.  

  • Conduct outreach to internship sites, employers, businesses, clients, and other stakeholders to obtain attendance information and supporting documentation.  

  • Verify attendance records and participation documentation for accuracy and completeness.  

  • Generate reports, perform basic data analysis, and provide findings and recommendations to the Operations Supervisor and team.  

  • Maintain accurate attendance records and prepare summary reports on attendance activity and trends.  

  • Review scanned documents for quality, accuracy, completeness, and readability, ensuring records are stored in the appropriate file locations according to State guidelines and scanning protocols.  

  • Perform quality assurance reviews by validating document classifications, scan codes, and file locations.  

  • Scan, index, and validate documentation to ensure compliance with recordkeeping standards.  

  • Develop and document best practices, workflows, and process improvements for the Operations Supervisor and team.  

  • Assist with training team members on established procedures and best practices as needed.  

  • Perform other duties as assigned. 

Qualifications

Required: 

  • High school diploma or GED required.  

  • One to two years of clerical, administrative, or office support experience preferred.  

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.  

  • Strong organizational skills with the ability to manage multiple tasks and priorities.  

  • Excellent interpersonal skills and the ability to communicate professionally with internal and external stakeholders.  

  • Strong written and verbal communication skills, including grammar, spelling, and data entry accuracy.  

  • Ability to maintain confidentiality and handle sensitive information with discretion.  

  • Strong attention to detail and commitment to data accuracy and quality control. 

Preferred: 

  • Experience with attendance tracking, record management, or document processing.  

  • Ability to analyze data and identify trends, discrepancies, or process improvement opportunities.  

  • Demonstrated ability to work independently while contributing effectively to a team environment.
