Job Description:
University Registrar Services is seeking an Athletic Certification Coordinator to support the academic eligibility certification of student-athletes. As a member of the University Registrar Services team, this position reviews academic records and applies university academic policies, conference requirements, and NCAA regulations to determine eligibility for athletic participation. The Coordinator also contributes to broader registrar functions, including maintaining student records, enrollment, degree progress, degree conferral activities and broader registrar activities.
Working closely with Sun Devil Athletics, the Faculty Athletics Representative, and campus partners, the Athletic Certification Coordinator serves as the university's primary academic certification specialist for student-athletes. While the role collaborates extensively with Athletics, its focus is ensuring the accuracy of academic records, evaluating degree progress, interpreting academic policy, and maintaining compliant, audit-ready certification processes.
This position is well-suited for individuals who enjoy detailed record review, policy interpretation, regulatory compliance, and supporting student success behind the scenes. The successful candidate will bring expertise in student records, enrollment services, degree audits, academic policy, or related registrar functions, along with an appreciation for the academic requirements associated with intercollegiate athletics.
Position Salary Range: $54,000 - $57,000 per year; offer dependent on experience
Essential Duties:
Maintain accurate academic records, including certifications, degree audits, enrollment status, and graduation progress; enter academic information into appropriate software systems.
Conduct detailed reviews of academic records, degree audits, enrollment history, transfer coursework, and progress-toward-degree requirements.
Facilitate the end-to-end NCAA certification process, ensuring timely and accurate eligibility determinations for all student-athletes across 26 athletic teams before first competition dates.
Ensure all certification decisions are fully documented and audit-ready; produce certification spreadsheets and eligibility reports for distribution to relevant stakeholders.
Act as the primary liaison between University Registrar Services and Sun Devil Athletics, building strong working relationships across both teams and with the Faculty Athletic Representative.
Interpret and apply university academic policies, Arizona Board of Regents requirements, Big 12 Conference regulations, and NCAA legislation to determine academic eligibility for student-athletes.
Prepare and support required institutional and NCAA reporting, including Academic Progress Rate (APR), Graduation Success Rate (GSR), and academic eligibility reports.
Ensure all certification decisions are fully documented and audit-ready; produce certification spreadsheets and eligibility reports for distribution to relevant stakeholders.
Collaborate on cross-functional projects that support the office’s broader mission of student persistence and degree attainment.
Perform a wide variety of intricate duties requiring attention to detail, timeliness, professionalism, tact, diplomacy, discretion, and sound judgment.

Desired Qualifications:
Experience in a university registrar's office, student records, degree audit, enrollment services, graduation services, academic advising, or academic compliance.
Experience interpreting and applying academic policies, regulations, and complex eligibility requirements.
Experience reviewing academic records and making decisions based on policy and regulatory requirements.
Experience with degree audit systems, student information systems, and reporting tools.
Knowledge of NCAA academic eligibility regulations, progress-toward-degree requirements, transfer eligibility, or collegiate athletics compliance.
Experience with data tracking, reporting, database management, and analysis tools; proficiency in management software.
Strong analytical and problem-solving skills with meticulous attention to detail and skill in editing.
Demonstrated ability to analyze complex information and communicate policy decisions clearly to stakeholders.
Evidence of ability to clearly communicate to perform essential functions.
Customer service experience in team-based, high-volume environments.
Proficiency in technology, including Google Suite, Office 365, and relevant data platforms.
Ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. May be required to perform tasks in the field within and/or across University campuses.
Subject to ASU policy and dean or vice president-level approval, this position may be eligible for a hybrid work arrangement where employees spend a minimum of 60% of their regular work week at the Tempe campus.
