Role:
The Associate Project Specialist drives the planning, coordination, and delivery of employee engagement initiatives for the PitchBook Mumbai office. This role focuses on creating meaningful employee experiences through events, communications, and culture programs that strengthen connection and collaboration across teams. Working closely with the Global Engagement team and Morningstar India partners, the position ensures consistent, high-quality execution of initiatives aligned with PitchBook's culture and values. Success in this role requires strong event management skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.
Team Overview:

As part of the Global Programs & Operations (GPO) team, you will contribute directly to initiatives that enhance employee experience and strengthen our culture. The GPO team is a centralized function supporting PitchBook Panthers through hiring, onboarding, training, engagement, communications, and key administrative programs. From ideation to execution, team partners with stakeholders to drive alignment with business goals, streamline processes, and create impactful, people-centered solutions. Guided by PitchBook's core values, GPO focuses on building clarity, connection, and consistency across the organization.
Responsibilities:
- Lead end-to-end planning and execution of strategic projects and flagship events such as PitchBook Town Halls, Annual Party, Panther Awards, Coffee Chats, and Company Meetings to enhance employee engagement and deliver impactful experiences.
- Manage the full event lifecycle including vendor coordination, logistics planning, tech setup, catering, branding, communications, run-of-show documentation, and post-event reviews.
- Maintain the yearly site engagement calendar in alignment with regional and global schedules, partnering with the Global Engagement team to standardize processes, adopt best practices, and contribute to cross-site initiatives.
- Establish regular syncs with team representatives (SPOCs) to drive events and initiatives, incorporating regular feedback to gauge employee sentiment and enhance engagement efforts.
- Build and manage employee feedback mechanisms to capture insights and use data to shape new initiatives and improve existing programs.
- Serve as the primary point of contact for PitchBook's core values manager-led engagement Focus Groups, ensuring alignment with global initiatives and organizational priorities.
- Support team-building initiatives to strengthen workplace culture and reinforce PitchBook's core values by setting an example and demonstrating desired behaviours.
- Prepare and manage event budgets, track expenses, forecast future needs, and maintain transparent financial reporting for leadership review.
- Manage travel and oversight calendars, coordinating meeting itineraries, transportation, and lodging for global leadership and visiting teams.
- Oversee timely updates across multimedia promotion channels, including emails, digital signage, newsletters, and The Den broadcasts. Collaborate with editors to produce post-event videos and photography that capture key moments and drive employee engagement.
Qualifications:
- Bachelor's degree with a minimum of 3 years of professional experience, including 2+ years in employee engagement, event management, or program coordination, will be a plus.
- Proven ability to plan and execute large-scale corporate events, including vendor management, logistics, contracting, and cross-functional coordination.
- Strong verbal and written communication skills; confident working with leadership and global teams.
- Skilled in budgeting, forecasting, and maintaining structured documentation for events and programs.
- Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint) with the ability to adapt quickly to new tools and systems.
- Comfortable working in a multicultural environment and collaborating effectively with international teams across time zones.
- Tech-savvy, with experience using event management tools, engagement analytics, and communication platforms such as Discord; basic multimedia editing skills are a plus.
- Demonstrated ability to influence without authority and foster productive partnerships across departments.
- Flexible to support extended hours or off-shift schedules as required for flagship company events.
