- Prepare and draft clear, professional emails for internal teams, clients, and stakeholders
- Coordinate project-related communication and follow-ups
- Prepare project status reports, dashboards, and documentation on a regular basis
- Track project tasks, timelines, and deliverables
- Timesheet Reconciliation: They shouldn't just track tasks; they must ensure every billable hour is logged correctly against the right codes.
- Maintain meeting notes, MOMs, and action items
- Assist in scheduling meetings and coordinating with cross-functional teams
- Support Project Managers in daily project activities and escalations
- Resource Onboarding: Manage the onboarding for new team members;
- Ensure project data is updated and accurate in tracking tools
- Maintain proper documentation and records
- Excellent written and verbal communication skills (mandatory)
- Strong experience in email drafting and professional communication
- Good knowledge of report preparation (status reports, trackers, summaries)
- Basic understanding of project coordination or project lifecycle
- Strong organizational and time-management skills
- Proficient in MS Excel, Word, PowerPoint
- Ability to multitask and work with multiple stakeholders
- Attention to detail and structured approach to work
- Exposure to project management tools (JIRA, Trello, Asana, MS Project, etc.)
- Basic understanding of Agile / Scrum processes
- Prior experience as Project Coordinator, PMO, or similar role
- IT / Software services background
