Job Description

Main Responsibilities

Deliver operational excellence and ensure compliance: 

  • Assisting with the management of a wide portfolio of trusts and companies, achieving operational excellence in the delivery of client services, managing high client expectations and delivering consistent results. 
  • Demonstrating your ability to draft minutes, resolutions and loan agreements with limited changes and input from others, ensuring data accuracy and completeness. 
  • Delivering services to client satisfaction within compliance and regulatory requirements, ensuring established processes and procedures are followed and understanding why they are necessary. 
  • Liaising with various internal and external stakeholders to ensure and maintain data integrity in the client relationship management systems, internal compliance systems (e.g. PRR), etc. 
  • Supporting team members, acting as a buddy, and supporting them with technical day-to-day queries. 
  • Building knowledge of the services Ocorian provides and supporting the achievement of our business goals through involvement in strategic initiatives. 

Deliver client-centric service: 

  • Taking greater initiative and ownership of responsibilities assigned, building confidence and skills to deliver with limited changes and input from your manager.   
  • Providing high quality client-centric administration activities in a timely manner, growing your appreciation and understanding of client needs and the nature and rationale of client activities and transactions. 
  • Building confidence and skills to communicate knowledgeably and professionally with clients and other stakeholders.    

Ensure financial management: 

  • Supporting with the financial management of clients; assisting with the billing process and monitoring of the aged debt position of matters under administration including liaising with Credit Control and Directors to ensure that a tight control is maintained over the value and length of aged debt.

Qualifications

  • Educated to A level or equivalent; 
  • Completed first degree in a relevant field or on the way to complete ICSA 

Knowledge, Skills and Experience  

  • 2-5 years’ experience in company and trust administration. 
  • Solid understanding of trusts and companies. 
  • Digital Literacy - able to lead in the use of the Microsoft Office suite of applications and Ocorian's core systems and apps, demonstrates a solid understanding of how to extract and manipulate client data. 
  • Administrative and Service Delivery Skills - able to support and train others, helping set and achieve team objectives. 
  • Personal Leadership -works with peers to ensure there is consistent understanding of goals and how to achieve these. 
  • Discretion and Confidentiality - able to maintain confidentiality and handle sensitive client information with the utmost discretion. 
  • Adaptability - demonstrates flexibility to changing priorities and work demands. 
  • Accountability - takes responsibility for work output. 
  • Presentation Skills – able to convey results and outputs of work to senior management in a clear and succinct manner. 
  • Attention to Detail - demonstrates excellent attention to detail to produce high-quality work. 
  • Time Management - able to manage workload, prioritise tasks, and meet deadlines in a fast-paced private client service environment. 
  • Communication Skills - able to interact with clients, colleagues, and others in a courteous and effective manner. 
  • Teamwork - collaborates with colleagues and assists team members in administrative tasks to achieve common goals.
