Responsibilities:
- Set up and maintain payroll databases for assigned clients. Collect and enter employee hours, new hire data, and changes. Process payroll accurately and on time, including generating paychecks, payroll journals, and reports.
- Research and apply federal, state, and local payroll tax requirements. Update databases with current tax rates and ensure timely preparation of tax deposits, quarterly reports, and annual W-2s.
- Review garnishment orders, calculate required deductions, and update employee records. Advise clients on remittance procedures to courts or agencies.
- Assist clients with onboarding systems, including maintaining new hire data, managing I-9 and E-Verify processes, and resolving discrepancies. Stay informed on employment law changes affecting onboarding.
- Respond to client inquiries via phone, email, or chat. Guide users through system features, troubleshoot technical issues, and escalate product malfunctions when needed.
- Maintain internal records of client interactions, technical issues, and resolutions. Share client feedback and feature requests with internal teams to improve services.
- Review payrolls and reports prepared by peers for accuracy. Work closely with Relationship Managers, client payroll contacts, and internal staff to resolve complex payroll, tax, or onboarding issues.
- Adhere to company policies, procedures, and professional standards. Stay current with regulatory changes and ensure all work meets compliance requirements.
- Perform additional tasks assigned to support the payroll and onboarding functions. Flexibility to work extended hours during peak periods to meet deadlines.
Additional Responsibilities:
- Meet turnaround requirements for payroll preparation and delivery and for government reports and payroll tax deposit due dates.
- Perform all work in a professional manner and in accordance with firm policies, procedures, and professional standards.
- Cooperate effectively with clients, client staff, co-workers, and internal support staff.
- Organize a work schedule to meet the requirements of the assignments.
Required Qualifications:
- Individuals at this level normally have a High School diploma.
- Strong customer service skills.
- Strong MS Office skills.
Preferred Qualifications:
- Payroll or accounting experience.
- Prior experience working in a CPA firm.
