Job Description

As our Executive Assistant Associate, you will be providing high‑level administrative and operational support to the Executive Assistant. This role supports efficient coordination, workflow management, and delivery of administrative excellence across the Executive team. The role is ideal for an organised, proactive individual who thrives in a fast‑paced, confidential, and detail‑oriented environment.

Key Responsibilities

Executive Administrative Support

  • Provide daily administrative support to the Executive Assistant
  • Assist with diary management, meeting scheduling, and coordination of key activities.
  • Prepare meeting materials, briefing documents, and presentations.
  • Support inbox management, prioritisation, and follow‑up actions.
  • Support CEO and CPO in absence of Executive Assistant

Meetings & Event Coordination

  • Organise logistics for internal and external meetings, including room booking, car park arrangements, refreshments and room preparation
  • Assist in planning Executive-level events, workshops, and leadership offsites.
  • Assist with diary planning to ensure time for meeting preparations and completion of follow-up items/actions
     

Document & Information Management

  • Create, maintain and organise 365 shared drives, and confidential records.
  • Compile data and support with preparation of various documents
     

Operational & Project Support

  • Support with Purchase Order and invoice work flows
  • Support with Expense submission and approvals
  • Book travel arrangements ensuring efficient use of Exec time and travel requirements
  • Support various business projects including document preparation, co-ordination of people and teams
     

Relationship Management

  • Act as a professional point of contact on behalf of the Executive Office.
  • Handle sensitive information with absolute confidentiality and discretion.
  • Build strong collaborative relationships across the business and with all external partners
  • Collaborate with all EA/PA’s ensuring strong positive relationships internally and externally

 

Qualifications

We’re looking for someone who is proactive and able to anticipate needs, demonstrating strong problem solving skills and has the ability to deal with deadlines. The ideal candidate will be confident, people‑focused, and able to represent the Executive Office and wider company with professionalism and positivity. A keen eye for detail and a commitment to delivering high‑quality work are essential, as is a positive, flexible attitude and a collaborative team spirit.

  • Outstanding communication skills, both written and verbal.
  • High level of professionalism, discretion, and reliability.
  • Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Ability to work independently and as part of a high-performing team.
  • Motivated to build a career as an Executive Assistant and eager to learn and develop by supporting and working alongside a senior EA.

Candidates with previous experience in an Executive Office or corporate EA/PA environment will be highly regarded.
