Job Description

Job Summary: 

The Center for Biostatistics in AIDS Research (CBAR), an organization within the Harvard T.H. Chan School of Public Health, is responsible for the design, monitoring and statistical analysis of clinical trials and observational studies for several major national and international NIH-funded clinical research networks. CBAR employs over 50 statisticians and epidemiologists including Harvard faculty, research scientists and staff. Investigators within CBAR have provided statistical leadership and support for clinical research networks for thirty-five years. Currently this includes infectious disease networks such as: Advancing Clinical Therapeutics Globally for HIV/AIDS and Other Infections (ACTG) and the International Maternal Pediatric Adolescent AIDS Clinical Trials Network (IMPAACT). Results from studies have helped to establish the paradigm for the treatment and prevention of HIV and other infectious diseases, and contributed to international treatment and prevention guidelines. CBAR has a hybrid work environment which includes a combination of on-campus/in-person work and remote work.

Job-Specific Responsibilities:

The CBAR Finance Team is seeking an Associate Director of Finance and Grants Administration (ADFGA). This position, which reports to the Executive Director for Finance, Administration and Information Technology (EDFAIT), will oversee the Center's funding. This role requires a self-directed individual, who can work collaboratively with Principle Investigators (PIs), members of the CBAR Finance Team, the Administration Team, other Harvard Departments, and external subcontractors in a busy and fast-paced center. This role is directly responsible for pre- and post-award activities for 2 substantial NIH funded cooperative agreements (with annual budgets over $39M), and directly supervises and provides leadership and guidance for 1 Team Lead/Sr. Grant Manager, 1 Senior Grant Managers (each with their own portfolio), 1 Jr. Grant Manager, and a Financial Program Coordinator.

The Associate Director of Finance and Grants Administration is also responsible for preparing complex financial projections and reports for PIs and the EDFAIT, ensures compliance with grant sponsors and University policies and regulations, works closely with senior scientists to ensure continuous grant funding, serves as the principal source of information for CBAR related to NIH regulations and policies, is responsible for reviewing and approving expenditures to ensure costs are allowable and allocated to the correct funds, and is responsible for overseeing the IT Cost Center to ensure costs are allowable.

Duties and responsibilities include, but are not limited to, the following:

  • May act as signatory for the University and/or oversee the signatory process
  • Establish and monitor effective pre post -award processes and systems
  • Manage such pre-award areas as: proposal submission, award validation approval and set-up
  • Manage such post-award areas as: award approval and set-up, financial analysis and reporting
  • Collaborate on the development of new pre post-award procedures within school/unit that support University wide policies and initiatives
  • Provide problem resolution, guidance and or training for sponsored research award management, compliance, systems, and reporting
  • Interpret regulations and guidelines of multiple program funding with complex and broad guidelines for spending
  • Lead the audit of individual sponsored accounts to ensure compliance with University and sponsored regulations
  • Ensures department’s accurate and timely financial analysis and reporting
  • Act as representative at the School/University level
  • Ensure financial compliance with University policies and procedures and applicable federal and sponsor rules and regulations

The Associate Director will also perform other duties as assigned.

Qualifications

Basic Qualifications:

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 7 years’ relevant work experience
  • Advanced knowledge of sponsored research regulations
  • Supervisory experience

Additional Qualifications and Skills:

  • Bachelor's or Master's degree in related field
  • Experience working on NIH funded cooperative agreements
  • Experience building teams, collaborating, and gaining consensus of teams
  • Knowledge of Microsoft Office Suite, including advanced Excel skills
  • Experience submitting and reporting cooperative agreements using ASSIST a plus
  • Strong attention to detail, organized, and strong written and verbal communication skills

Work Format Details

This position has been determined by school or unit leaders that the duties and responsibilities can effectively be performed fully remotely at a non-Harvard location. Employees in fully remote positions must work all scheduled hours in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. At the discretion of the department, fully remote employees may occasionally be required on site at a Harvard location. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
