We are seeking for a high caliber individual to join our Executive Office. This role reports directly to the COO and Head of Executive Office, offers strategic administrative and coordination support, with a primary focus on engaging with regional COO and Business Management teams. The role is essential in ensuring smooth communication, successful execution of initiatives, and the consolidation of operational updates across multiple regions.
Key Areas of Responsibilities- Serve as the point of contact with regional COO and Business Management teams.
- Facilitate regular communication, meetings, and updates across regions, including agenda setting and follow-up.
- Prepare reports, presentation materials, and briefing documents for management meetings.
- Handle correspondence and communications on operational matters.
- Collect, consolidate, and analyse operational data from regional teams, and prepare dashboards to monitor regional performance and initiatives.
- Support the tracking and progress reporting of projects and strategic initiatives.
- Assist in implementing and coordinating strategic plans across multiple regions.
- Maintain organized records of communications, meeting minutes, and follow-up actions, ensuring confidentiality.
- Support special projects, initiatives, and ad hoc tasks as assigned.
- Contribute to process improvement efforts related to regional coordination and communication.
- Master's degree or above in Business Administration, Management, or related discipline
- Preferably 7 to 10 years of experience in a financial services institution
- Demonstrated experience supporting executive leadership
- Strong organizational and multitasking abilities
- Excellent problem-solving skills with keen attention to detail
- Outstanding communication and interpersonal skills
- Experience working with international or global teams
- Familiarity with project management methodologies
- Ability to work independently, efficiently, and effectively under pressure
- High level of discretion, confidentiality, and professionalism
- Excellent command in both written and spoken English and Mandarin is essential
