Role Overview

The Associate, Clinic Operations will support the launch and ongoing operations of Pharmacy1st’s clinic network.

This person will work closely with the Senior Director, Clinic Operations to manage provider credentialing, clinic licensing, operating documentation, site readiness, and day-to-day clinic operations support. The role is ideal for someone early in their career who is highly organized, detail-oriented, and interested in building healthcare operations in a fast-growing company.

This is a hands-on execution role. The Associate will help ensure that clinics are properly licensed, providers are credentialed and ready to see patients, operating workflows are documented, and clinic teams have the support they need to run effectively.

Key ResponsibilitiesProvider Credentialing and Enrollment
  • Coordinate credentialing and enrollment for physicians, nurse practitioners, and other clinical providers.

  • Track provider applications, required documents, licenses, certifications, malpractice coverage, and payer enrollment status.

  • Work with credentialing vendors, payors, provider organisations, and internal teams to ensure providers are approved on time.

  • Maintain organized credentialing files and status trackers.

  • Escalate delays or missing documentation that could affect clinic launch timelines or billing readiness.

Clinic Licensing and Regulatory Support
  • Support clinic licensing, registrations, and state-level regulatory filings.

  • Coordinate required documentation for clinic openings, renewals, and updates.

  • Work with legal, compliance, clinical leadership, and external advisors to ensure licensing requirements are met.

  • Track deadlines for licenses, permits, renewals, inspections, and required filings.

  • Help maintain a centralized database of clinic and provider licenses, as well as regulatory documents.

Clinic Launch Readiness
  • Support the Senior Director, Clinic Operations in preparing new clinics for launch.

  • Maintain launch checklists covering staffing, credentialing, licensing, EHR setup, supplies, workflows, signage, billing readiness, and operating procedures.

  • Coordinate across construction, clinical, HR, billing, compliance, and pharmacy teams to ensure launch milestones are met.

  • Help prepare opening-day materials and site readiness documentation.

  • Track launch risks and provide regular updates to leadership.

Day-to-Day Clinic Operations Support
  • Support clinic teams with operational issues related to scheduling, patient flow, documentation, supplies, vendor coordination, and workflow execution.

  • Assist in tracking clinic performance metrics, including visits per day, no-show rates, provider schedules, patient experience, and operational blockers.

  • Help prepare materials for weekly clinic operations meetings and business reviews.

  • Document action items and follow up with owners to ensure execution.

  • Support troubleshooting of issues escalated from clinic sites.

Process Documentation and Playbooks
  • Help create and maintain standard operating procedures for clinic operations.

  • Document workflows for provider onboarding, patient scheduling, clinic opening, referrals, lab coordination, and pharmacy-clinic handoffs.

  • Support development of repeatable clinic launch and operating playbooks.

  • Ensure key documents are organised, up to date, and accessible to the relevant teams.

  • Identify opportunities to improve consistency across clinic sites.

Cross-Functional Coordination
  • Work closely with clinic operations, clinical leadership, pharmacy operations, HR, legal, compliance, billing, finance, and external vendors.

  • Serve as a coordination point for tasks that cut across multiple teams.

  • Help ensure information flows clearly between Corporate HQ and clinic sites.

  • Support the Senior Director, Clinic Operations on special projects related to clinic performance, expansion, and operational improvement.

QualificationsRequired
  • 1–4 years of experience in healthcare operations, clinic administration, project management, consulting, healthcare services, or a related role.

  • Strong organizational skills and ability to manage multiple workstreams at once.

  • Close attention to detail, especially with licensing, credentialing, deadlines, and documentation.

  • Strong written and verbal communication skills.

  • Ability to work across multiple teams and follow up consistently.

  • Comfort operating in a fast-moving, entrepreneurial environment.

  • Strong problem-solving skills and willingness to take ownership of execution details.

  • Based in or willing to work from the Washington, DC office.

Preferred
  • Experience with provider credentialing, payer enrollment, clinic licensing, or healthcare compliance.

  • Experience working in primary care, urgent care, ambulatory care, pharmacy, or healthcare operations.

  • Familiarity with EHR systems, billing workflows, provider onboarding, or clinic launch processes.

  • Experience supporting multi-site healthcare operations.

  • Interest in rural healthcare, healthcare access, and building new care delivery models.

Skills Required
