Job Description

Primary Responsibilities:

  • Welcomes employees and visitors with a smile and friendly tone.
  • Checks visitors in and out of the office.
  • Conducts a morning scan of each work floor to ensure everything is operating as expected.
  • Adds and removes people from the bio-security system.
  • Assists with meeting scheduling, such as client meetings, workshops, and large-scale interview days.
  • Sets up rooms with proper supplies and refreshments for meetings.
  • Ensures the office is properly stocked with supplies.
  • Manages supply ordering.
  • Handles mail and package intake.
  • Handles outgoing and incoming deliveries.
  • Assists with emergency cleanups.
  • Helps maintain a clean office and work environment.
  • Assists employees and visitors with arrivals, showing them the office layout and other facilities.
  • Ensures Audio Visual equipment is operational.
  • Answers phones promptly and professionally.
  • Transfers calls or takes messages appropriately.
  • Displays complete understanding of office-related topics.
  • Works with the building/landlord to resolve issues or other topics.
  • Manages food ordering and understands common needs for meetings such as refreshments, snacks, food, and dietary requirements.
  • Able to run errands outside the office.
  • Experienced in using email as a main communication tool, specifically Outlook.
  • Works on other projects or duties as required.

Qualifications

  • 1+ year of customer service experience with solid communication skills both in person and via phone.
  • 1+ year of related work experience in a front office setting.
  • 1+ year of experience in Excel and Outlook.

Working Model:

  • 8:30 AM start time, Monday to Friday.
  • In-office 5 days per week.
