Job Description

Position Overview

The Associate, After School Assistant Program Director is a key member of KIPP NYC's After School Programs team, supporting the successful day-to-day operation of a high-quality after school program that promotes academic enrichment, youth development, and social-emotional learning.

Reporting to the Program Director, the Associate, After School Assistant Program Director partners closely with school leaders, after school staff, students, and families to ensure programs operate efficiently, remain compliant with Department of Youth and Community Development (DYCD) requirements, and provide a safe, engaging, and welcoming environment for every student.

This role plays a critical part in supporting program operations, maintaining compliance systems, coordinating administrative processes, and helping create joyful after school experiences that reflect KIPP NYC's commitment to educational excellence and student success. This role also serves as a key operational partner to the Program Director and helps ensure continuity of program leadership during the Program Director's absence.

Duties and Responsibilities:

General responsibilities include (but are not limited to):

Program Operations & Administration

  • Support the Program Director with the daily management and operation of the after school program.
  • Assist with planning, coordinating, and executing daily program operations to ensure high-quality implementation.
  • Complete administrative tasks, reports, and operational projects accurately and within required timelines.
  • Maintain organized participant, staff, and program records in accordance with DYCD regulations and KIPP NYC policies.
  • Assist with additional operational initiatives and department projects as assigned.

Compliance & Data Management

  • Maintain participant information, attendance records, and required documentation within DYCD Connect and other applicable systems.
  • Ensure attendance, enrollment, and compliance documentation is accurate, complete, and submitted by required deadlines.
  • Monitor participant files and operational documentation to ensure compliance with DYCD requirements and internal standards.
  • Assist with monitoring daily staff-to-participant ratios and support overall program compliance.
  • Maintain confidential student and staff records in accordance with organizational policies.

Student & Family Engagement

  • Assist in planning and coordinating family engagement events, student showcases, celebrations, field trips, and special events.
  • Build positive, welcoming relationships with students and families while supporting an inclusive program culture.
  • Supervise students during daily programming, enrichment activities, trips, and special events as needed.
  • Support implementation of engaging activities that promote academic enrichment, leadership development, positive youth development, and social-emotional growth.

Safety & Student Well-Being

  • Maintain first aid supplies, emergency materials, and safety kits for the program.
  • Document incidents, injuries, behavioral concerns, and safety issues in accordance with KIPP NYC and DYCD procedures.
  • Prepare incident reports for review and submission by the Program Director.
  • Support a safe, structured, and positive learning environment where students are known, challenged, and supported.

Team Collaboration & Leadership Support

  • Partner closely with the Program Director, Content Specialists, school leaders, and after school staff to ensure high-quality programming and operational excellence.
  • Serve as the acting program leader, in partnership with the Content Specialist, during the Program Director's absence.
  • Build strong working relationships with school staff and regional after school leadership to ensure alignment between the school day and after school programming.
  • Contribute to a collaborative team culture focused on continuous improvement and outstanding student experiences.
  • Perform additional duties and special projects as assigned.

Qualifications

  • Bachelor's degree preferred.
  • Minimum of two years of experience working in youth development, after school programming, expanded learning, or a Department of Youth and Community Development (DYCD)-funded program.
  • Knowledge of DYCD regulations, reporting requirements, and DYCD Connect preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Experience maintaining records, managing administrative processes, and supporting operational systems.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to build strong relationships with students, families, school staff, and community partners.
  • Strong customer-service mindset with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and Google Workspace.
  • Ability to work independently while collaborating effectively with diverse stakeholders.
  • Demonstrated initiative, flexibility, sound judgment, and a solutions-oriented mindset.

Additional Information

Compensation & Benefits:

KIPP NYC offers a standard hourly rate of $23.08 for this role. This rate is standardized based on the position's level and responsibilities to ensure equitable compensation across employees in similar roles.

This is a full-time, in-person role based in New York City and will require travel to our schools. If you are not in a school-based position, the cadence and frequency of travel to schools is determined by your leadership team. If you relocate outside of a commutable distance or out of the state of NY, your employment will be subject to review, which may include separation from KIPP NYC. It is important that you notify HR if you move or have plans to relocate.
