Job Summary:

The Associate, Administrative Services will play a critical role in supporting the efficient operation of our office by providing administrative assistance and coordinating various tasks. The successful team member will possess strong organizational skills, excellent communication abilities, and a dedication to delivering high-quality service.

Responsibilities:

  • Assist in managing the day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondence.
  • Maintain office supplies inventory and place orders to ensure sufficient stock.
  • Assist with scheduling appointments, meetings, and conference calls, coordinating logistics and sending out reminders.
  • Welcome visitors and guide them to the relevant team member or department.
  • Manage incoming and outgoing mail, including sorting, distributing, and processing shipments.
  • Ensure the reception area, breakroom, and all fridges in executive offices and conference rooms are kept tidy and organized to foster a professional and welcoming environment.
  • Assist in coordinating office maintenance, repairs, and janitorial services as needed.
  • Receive and review incoming invoices from vendors and suppliers.
  • Verify the accuracy of invoices, including quantities, prices, and terms.
  • Promptly and accurately code and enter invoices into the accounting system.
  • Monitor office equipment and troubleshoot issues, liaising with vendors for repairs or replacements.
  • Assist in ensuring compliance with health and safety regulations and emergency procedures.
  • Assist in responding to emails and answering tickets through the support center
  • Maintain accurate and up-to-date filing systems for documents, records, and confidential information.
  • Assist in data entry and recordkeeping tasks, updating databases and spreadsheets as required.
  • Serve as the primary point of contact with the property manager
  • Assist with event planning and coordination, including logistics, catering, and attendee management.
  • Handle ad hoc administrative tasks and projects as assigned by management.

Required Qualifications:

  • Associate’s degree is preferred
  • 2+ years prior work experience is a plus
  • Strong planning and organizational skills, along with a high attention to detail
  • Prove to be a resourceful team player who is skilled in building trusting relationships with clients and colleagues
  • Demonstrate a working knowledge of Microsoft Office suite
  • Ability to manage various tasks and prioritize multiple projects
  • Show a commitment to continuous learning
  • Exhibit exceptional listening and communication skills, effectively conveying information verbally and in writing.
