The Assoc Director of Clinical Operations (ADCO) provides leadership and oversight of the daily operations of the Memphis Speech and Hearing Center (MSHC), ensuring efficient, accurate, and compliant delivery of business services that support on-site clinical care. This position manages the MSHC office staff, oversees billing and collections, and coordinates referrals and marketing efforts. The Assoc Director of Clinical Operations works closely with School leadership, clinicians, student clinicians, and external partners to ensure seamless integration of patient services, student education, and financial and administrative processes. This position reports to the MSHC Director and assists the Director with policy development and compliance, productivity tracking, and reports.

Responsibilities

Oversees daily operations of the clinic, including scheduling, referrals, billing, and patient flow.  Monitors productivity, workflows, and efficiency across business and clinical support functions.  Develops and implements policies and procedures to ensure compliance with healthcare, privacy (HIPAA), and payer regulations.  Supports quality assurance initiatives and maintain compliance with accreditation standards (ASHA, CAA).  Coordinates with School leadership on policy development and implementation.  Assists with setting and monitoring clinical productivity and efficiency metrics. Ensures adherence to infection control protocols and safety procedures.  Prepares reports for leadership review. Identifies opportunities for process improvement and lead initiatives to enhance clinic operations. (40%)

Monitors billing processes and ensure accurate coding and documentation for services.  Optimizes reimbursement from insurance providers.  Tracks accounts receivable and assists with collection efforts.  Analyzes payer mix and reimbursement trends to inform strategic planning.  Monitors current industry regulations, payer requirements, and best practices in clinical operations and billing.  Supports contract negotiations with insurance providers and managed care organizations Implements strategies to maximize revenue and minimize claim denials. (20%)

 

Maintains accurate clinical records and documentation systems.  Coordinates equipment maintenance and inventory management.  Manages clinic communications and correspondence.  Assists with reports and presentations for administration.  Oversees compliance audits, regulatory inspections and patient intake processes.  Monitors patient satisfaction and addresses concerns. (10%)

Supervises business office staff and student workers.  Conducts performance evaluations and provides professional development guidance.  Manages staff scheduling and workload distribution.  Facilitates team meetings and coordinates continuing education requirements.  Addresses personnel issues and implement corrective action plans when necessary. Fosters a positive and collaborative team environment that supports accuracy, accountability, and customer service. (10%)

 

Serves as a point of contact for Directors of Clinical Education regarding operational and billing processes.  Provides guidance on documentation, coding, and workflow to support the educational mission of the clinic.  Possibility for service line, if desired.  (10%)

Manages referrals, ensuring timely intake and coordination of new patients.  Develops and implements marketing strategies to increase visibility and referral networks.  Builds and maintains relationships with community partners to support patient recruitment and outreach. (5%)

Qualifications

Bachelor's Degree in a relevant area and six (6) years of appropriate experience. Relevant experience may substitute for required education.  


Skills and abilities should include:

  • Knowledge of clinical documentation, billing procedures, and reimbursement systems.
  • Previous supervisory experience 
  • Strong leadership and staff management abilities 
  • Proficiency in electronic health records and clinic management systems 
  • Knowledge of healthcare billing, coding, and reimbursement processes, particularly audiology codes
  • Understanding of regulatory compliance requirements (HIPAA, OSHA, Medicare/Medicaid) 
  • Ability to work collaboratively in a multidisciplinary environment 
  • Excellent organizational and time management abilities 
  • Problem-solving and critical thinking skills 
  • Commitment to evidence-based practice and continuous quality improvement 

Skills Required

  • Bachelor's degree in a relevant area
  • Six years of appropriate professional experience, with relevant experience potentially substituting for education
  • Knowledge of clinical documentation, billing procedures, and reimbursement systems
