The Assistant Inventory Manager supports the Inventory Manager in overseeing and managing inventory control and procurement processes. This role is responsible for maintaining optimal inventory levels, ensuring accurate record-keeping, managing stock replenishment, and coordinating with suppliers and internal departments to meet operational needs. The Assistant Inventory Manager implements inventory management strategies to maximize efficiency, minimize disruptions, and ensure the smooth flow of materials and supplies. Additionally, this position assists in monitoring inventory performance, analyzing stock trends, and supporting the development and enforcement of inventory policies and procedures.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Operation & Team Management
- Assist in monitoring and managing inventory levels to meet operational demands while minimizing excess stock
- Conduct regular physical inventory counts and reconcile discrepancies with system records
- Purchase materials, plan inventory, and oversee warehouse efficiency
- Monitor demand, analyze data, and anticipate future supply needs
- Coordinate with Inventory Manager to order and replenish stock based on usage, forecasts, and safety stock
- Supervise the use of inventory software and data management
- Establish cycle counting and reconciliation procedures to meet company and audit requirements
- Assist in managing supplier relationships, including negotiating terms, placing orders, resolving issues, and evaluating supplier performance
- Verify and inspect received inventory for quality and accuracy
- Assist with scheduling, assigning work, and evaluating performance of inventory/warehouse employees
- Support recruitment, onboarding, and training of new inventory staff
- Stay updated on professional knowledge through continuous self-development
Compliance & Quality Control
- Ensure compliance with inventory management policies and procedures
- Conduct inspections of equipment and work areas, providing recommendations for repairs or replacements
- Propose strategies to reduce costs and improve supply chain logistics
- Supervise receiving processes and assist in training and action plans to improve performance
- Recommend changes in operating procedures or process flow to improve operational performance
- Perform any other duties assigned by the Inventory Manager
Reporting & Data Analysis
- Prepare inventory reports, including stock levels, usage rates, and trends
- Provide insights and recommendations based on inventory data to improve inventory management practices
- Monitor inventory turnover rates and adjust reorder points and quantities to optimize stock levels
- Assist in preparing annual fiscal plans for the inventory department
Maintenance & Operational Support
- Ensure proper storage, organization, and accessibility of all inventory items
- Maintain warehouse equipment and inventory tools in good working order
- Support smooth workflow and operational continuity across all inventory processes
SKILLS SPECIFICS:
- Microsoft Office proficient, Inventory software knowledge
- Strong knowledge of inventory management principles, techniques, and systems.
- Excellent organizational and time management skills, with the ability to manage multiple tasks and priorities effectively.
- Strong interpersonal, organizational, leadership and communication skills (written and verbal)
- Warehouse, purchasing, basic accounting and inventory control skills.
- Excellent interpersonal skills and attention to detail.
- Thorough understanding of inventory policies and procedures.

EDUCATION & QUALIFICATIONS:
- Associate’s or bachelor’s degree in business administration, Supply Chain Management, or a related field preferred or equivalent experience is required; additional education in Hospitality or a related field is a plus
- Minimum of 2-4 years of experience in inventory management or a related field, with at least 1 year in a supervisory or assistant role.
- Experience in a hospitality or resort environment is highly desirable.
- Previous work experience preferred.

- Ability to speak English clearly, distinctly, and cordially with employees and guests.
- Ability to read and write English to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, managers, and co-workers.
