Position Summary

The Assistant Project Manager II role provides project support for Project Managers and project teams electrical construction projects. This role will typically be assigned to support commercial electrical construction projects ranging from $1M - $10M in contract value, but may support projects up to $25M+ in some contexts. This role supports Project Managers with larger, more complex projects while beginning to take on more responsibility for smaller projects, documentation, and coordination.

Key Responsibilities
  • Prepare and manage RFIs, purchase orders and change order tracking independently.

  • Assists with project budgeting, cost analysis, and subcontractor invoicing.

  • Assist in contract administration, including tracking and monitoring deliverables to ensure compliance with contract terms.

  • Maintains and updates resource data including vendor contracts, material specifications, and regulatory requirement.

  • Communicates and coordinates with project stakeholders including owners, architects, engineers, subcontractors, and inspectors to support project alignment and decision-making.

  • Coordinate subcontractors for assigned scopes.

  • Assist in cost tracking and schedule updates.

  • Conduct regular site visits to monitor progress and resolve any issues that arise during construction.

  • Support procurement and vendor communication.

  • Participates actively in project meetings.

  • Prepare and present project updates, reports, and documentation as required.

Key Performance Indicators (KPIs)
  • RFI Weekly Follow-Up Compliance: % of open RFIs with a documented follow-up action taken at minimum once per week (email, phone, or log update) - 95%+

  • RFI Average Cycle Time: Average calendar days from RFI submission to formal response from A/E or Owner - < 10 days avg.

  • Change Order Log Completeness: % of change orders (PCOS/OCOs) logged with complete backup, pricing, and current approval status - 95%+

  • Submittal Processing Turnaround: Average days to process and return reviewed submittals to subcontractors after A/E release - < 5 days avg.

  • Budget Cost Forecast Accuracy: Variance between APM cost-to-complete forecasts and actual reported costs at monthly reconciliation - Within +/- 5%

  • Subcontractor Coordination Log: % of subcontractor coordination issues documented with action items and current resolution status - 90%+

  • 6-Week Look-Ahead Distribution: % of 6-week look-ahead schedules updated with current subcontractor input and distributed to the field on time each week

  • Client Communication Logging: % of owner/client-facing communications (emails, RFIs, COs, meeting notes) logged in the project management system - 90%+

  • Safety Incident Documentation: % of safety incidents (injuries, near-misses, property damage) formally documented and reported within 24 hours - 100%

Qualifications & Skills

Required:

  • Bachelor's degree in Construction Management, Electrical Engineering; related experience may be considered in lieu of degree.

  • 4 years experience working in project management within the electrical construction industry.

  • Demonstrated experience working in project management software (ProCore, CMIC, Primavera etc.)

  • Experience managing project budgets, schedules, and resources successfully.

  • Ability to read and understand construction drawings, specifications, and contracts.

  • Knowledge of construction documentation and associated processes.

  • Understanding of electrical systems, codes, and safety regulations.

  • Ability to prioritize and manage competing deadlines appropriately.

  • Strong accuracy and attention to detail.

  • Ability to communicate effectively in writing and verbally.

  • Ability to work as part of a team or independently.


Work Environment & Physical Requirements

Sedentary: While performing the duties of this job, the employee is regularly required remain a stationary position over 75% of the time, constantly operates a computer and other office productivity machinery which can include a copy machine or printer, frequently communicates with internal and external contacts, and must be able to exchange accurate information. The employee is occasionally required to move about inside the office to access file cabinets, office machinery, and handle up to 20 pounds (files or office supplies). Must be able to detect, determine, distinguish, inspect, assess, and adjust focus. Management reserves the right to change this position description at any time according to business needs.

Skills Required
