Responsibilities
- Manage calendar of the Directors and Producer, assist in navigation of daily schedule and needs, identify priorities
- Supports the production team to achieve overall goals, shift priorities as departmental needs change
- Daily office activities including scheduling meetings and rooms, copies, filing, partner with facilities on supply needs, orders, runs
- Assisting in preparation of screenings, presentations, meetings; supports department coordinators in managing department calendars
- Taking detailed meeting notes and timely distribution
- Work side by side with Production Coordinators to achieve daily needs and goals
- Assists Producer(s), Supervisors, and Coordinators to track statuses by maintaining continuous awareness of production timeline
- Consistent line of communication with all departments regarding needs and deadlines including cross-site, multi-location
- Arrange detailed travel plans and itineraries, compile travel documentation
- Track and submit invoices and expense reports
- Research tasks, projects, and gathering materials as requested
- Monitoring and timely collection of timecards
- Day-to-day administrative tasks
- Other ad hoc duties as necessary
Requirements
- At least 1-year as assistant or PA within entertainment; experience at animation studio a plus; agency experience a plus
- Enthusiasm and desire to learn all areas of animation pipeline and related workflows
- Ability to multi-task and prioritize workload to meet deadlines, strong organizational habits
- Strong attention to detail and follow-through
- Excellent written, verbal, and interpersonal skills
- Ability to maturely and professionally interface with all levels of internal management, vendors and outside contacts, etc.
- Possesses a high level of discretion and confidentiality
- Strong proficiency with MS software, including Outlook, Word, Excel, PowerPoint
- Flix, ShotGrid, Photoshop experience, a plus
- Previous experience within animation, including internships, a plus
