The Assistant, People & Office Operations plays a key role in keeping our award-winning culture thriving. In this role, you’ll support the People Operations team and oversee office management across all of our offices in California, New York, and Arizona including office organization, vendor coordination, finance administration, and overall workplace support to ensure smooth day-to-day operations.
                       
*This role is In-Office in Calabasas, CA, Monday-Friday*

Responsibilities:
  • Manage the day-to-day operations of all TicketManager offices, ensuring a professional, organized, clean, and welcoming environment.
  • Oversee office supplies, kitchen stock, and common area upkeep across all offices, managing inventories and coordinating with building management, vendors, and service providers (e.g., janitorial, IT, maintenance) to ensure smooth operations.
  • Coordinate catering and food service for weekly team meals, executive lunches, and onsite meetings.
  • Provide administrative support for Finance, including handling mail, invoices, check deposits, and tracking office budgets
  • Support People Operations initiatives by assisting with employee engagement activities, birthday & work anniversary recognition, and maintaining culture-focused office boards
  • Prepare and maintain meeting spaces, greeting and hosting clients and guests.
  • Monitor and maintain office equipment, supplies, and facilities to ensure smooth day-to-day operations.
  • Keep shared files, photos, and records organized and up to date across digital and physical systems.
  • Collaborate with cross-office teams to align office management standards and ensure consistent support nationwide.
  • Assist the Talent team with scheduling and coordinating candidate interviews, including managing calendars and booking meetings.

Desired Skills and Experience:
  • Bachelor’s Degree Required.
  • 1–2+ years of administrative, office coordination, or executive assistance experience.
  • Strong interpersonal skills; comfortable engaging with staff, executives, vendors, and external partners.
  • Highly organized and detail-oriented, with the ability to juggle multiple projects and deadlines.
  • Self-motivated and resourceful, thriving in a fast-paced, entrepreneurial environment.
  • High level of personal integrity, professionalism, and discretion in handling sensitive or confidential information.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to take ownership, solve problems proactively, and maintain a positive, team-oriented attitude.
  • Technical skills preferred: Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Canva, Adobe Suite; familiarity with collaboration tools such as Slack, Microsoft Teams, or Confluence a plus
