Assistant Office Manager will work closely with the office to help oversee and manage the administrative and operational functions of a 25 person office. The role is crucial to ensuring the efficient and smooth day-to-day operation of the office.
Responsibilities:
- Administrative Support: Assist in providing administrative support to the office and staff, which may include managing conference room schedules, handling correspondence, taking meeting minutes, and onboarding new employees.
- Office Organization: Assisting with the organization and maintenance of the office space, including managing supplies and equipment.
- Staff Supervision: Collaborating with the office in overseeing and providing guidance to office staff.
- Communication: Assisting in facilitating effective communication within the office and acting as a point of contact between employees and managers, taking phone messages when needed. Must feel conmfortable conversing over the phone with tenants, vendors and employees.
- Facility Maintenance: Helping with the coordination of office maintenance and liaising with building maintenance for repairs and upkeep.
- Procurement: Assisting with the procurement of supplies, equipment, and services, including vendor negotiations.
- Technology Management: Assisting with the management of office technology third party vendors such as computers, software, and third party software.
- HR Support: Assisting in the recruitment process by posting job listings, coordinating interviews, and managing applicant records.
Qualifications:
- Must have strong organizational, communication, and teamwork skills
- Associates Degree or Higher and knowlegdeable with Office 365
- Excellent Note-Taking Skills: The ability to take clear and concise notes is crucial. This includes writing legibly, using shorthand if necessary, and organizing information logically.
- Discretion and Professionalism: Office inormation contains sensitive or confidential information, so the candidate should be discreet and professional in handling information.
- Must enjoy working in an office environment , no remote work . Office Hours 8-430 PT or FT available
Actual pay varies based upon, but not limited to, relevant experience, time in role, base salary of internal peers, and prior performance.
