Job Title: Assistant, Marketing
A little bit about our team:
The Marketing department is the chief holder of information on the status of an individual project (record or dvd) scheduled to be released into the marketplace. Primary focus lies in discovering effective advertising avenues, market research, dissemination of useful information to fellow staff members and partner labels.
Your role:
As a marketing assistant, you will work closely with the marketing department to help support the setup, execution, and delivery of innovative marketing campaigns. You will have the opportunity to help build inter-departmental marketing decks and handle administrative tasks such as asset management, release scheduling, invoice processing, and the creation of marketing materials. The team is filled with hardworking individuals dedicated to building and supporting the artists they work on!
Here you’ll get to:
Administrative tasks including, but not limited to scheduling internal and external meetings, processing expense reports, coordinating/booking travel, processing invoices, ordering office supplies, conducting mailings, and handling multiple executive's calendars
Create and update artist career one-sheets, hype sheets, fact sheets, and timelines to be distributed within the company and to external partners
Assist in the development and execution of artist marketing plans by participating in meetings, creating artist pitch decks, and communicating with all respective departments
Schedule all product releases and ensure that all production deadlines are met
Pull, analyze, and distribute weekly Soundscan, Mediabase, Tableau and Music Connect reports to be sent internally and to respective managers
Maintain, organize, and distribute all artists’ assets to the company and external clients.
Coordinate with the creative department to create artist assets including graphics, print ads, hype sheets, posters, stickers, digital assets, etc.
Write copy for promotional assets including one sheets, stickers, posters, print ads, etc.
Plan and implement artist events including listening sessions and release parties by coordinating with outside vendors and venues, maintaining a budget, crafting promotional material, and being on site to ensure all events run smoothly and efficiently
Liaise with third party marketing and street team companies to create and distribute tools such as posters, stickers, and t-shirts
Process invoices by setting up vendors in our system, coding the invoices in our financial systems, and corresponding with vendors to ensure final payment
Actively attend meetings, take notes, and prepare materials to circulate to the team before and after meetings
Support and develop relationships with lifestyle and strategic brands that help with production and execution of marketing related events for Warner Records and our artists
Collate artist budget requests on a weekly basis
Continually update our team’s roster contact sheet for core team members, artist management, vendors, etc.
About you:
Effective verbal, written, and interpersonal communication, demonstrating professionalism when representing the team
Excellent project management skills with the ability to prioritize and handle multiple projects at once
Extremely detail oriented
Ability to multi-task and work efficiently with a sense of urgency in a high-pressure environment, flagging issues before or as they arise

We’d love it if you also had:
A background in Marketing (either having a Degree in the field or 1+ year of relevant work experience within the music and/or entertainment industry)
Proven reliability, responsibility, confidence, and ability to handle pressure
A hunger to learn overall operations of a record company
The ability to quickly administrate and/or fulfill day-to-day requests
Connections in the culture and relationships with external entities/brands that could yield developmental opportunities for artists across the roster
Comprehensive experience with Mac platforms
Proficiency in Google Workspace (Docs, Slides, Sheets, and Gmail)
Professional experience using Social Media, and knowledge/foresight of trends
Your own network of industry and creative contacts
