Your Role and Responsiblities:
• Supports the Department Manager and team members in various routine to moderately complex tasks and projects by providing administrative assistance as needed and by staying knowledgeable of corporate policies to achieve departmental goals, working under general supervision.
• Assists in handling incoming and outgoing correspondence, including emails, letters and phone calls while ensuring prioritization to ensure an organized and efficient communication flow within and outside the department.
• Aids in creating draft letters, emails, office documents including meetings agendas, minutes and follow-up action items, and PowerPoint presentations to support departmental communication and documentation needs.
• Schedules appointment, maintains a group calendar with relevant meetings, timelines, milestones, and events to keep the department organized and on track and coordinates meetings.
• Maintains and organizes department records, files, and documents.
• Coordinates travel arrangements for department staff, including visa applications and booking flights, accommodations and transportation, while adhering to organization policies and budget constraints.
• Assists in organizing department events, workshops, and conferences, including preparing necessary materials and ensuring technical setup to ensure that all aspects of the event are well-managed and meet participant expectations.
• May support the Works Council in effectively representing employee interests and advocating for their well-being within the organization by possessing knowledge of the Works Councils Act and relevant Philips policies and regulations such as Social Plan, Collective Labor Agreement etc.
