Support the day-to-day support for facility operations & maintenance, client relations, contract/vendor management along with supporting accounts payable, budgeting, capital planning, reporting, project management and emergency planning processes for a multiple building portfolio in the Caparra Heights district of San Juan. Provide oversight of workflow management, preventative maintenance program and assist with negotiating and managing vendor relationships; ensure compliance with federal, state, and local regulations; and ensure compliance with risk management standards.
Key Responsibilities
- Monitor and maintain facilities operation and maintenance to assist the client in their efforts to provide a safe and reliable environment and to ensure compliance with all client and regulatory ESG policies and procedures.
- Assist account leader in developing and supporting effective on-going preventive maintenance program either through self-performance or vendor support.
- Acknowledge, generate, and provide updates for requested/needed work orders either through for self-performed remedy or dispatch to appropriate service provider for remedy.
- Assist with account management with development of vendor contracts, from scope development and support/coordination of bid process through transition.
- Participate in the performance oversight of all service contractors who perform contract services through routine interaction as the scope of work is performed.
- Promote and foster positive relationships with the client, Facility Maintenance team and vendor partners and track service requests as required.
- Assist accounting functions as required; Accounts Payable process, the preparation of monthly reports to owner including reconciliation of accounts, preparation of budget variance narratives, etc.
- Support the preparation of reports for the client on status of work orders and/or project work.
- Provide facility inspections as necessary.
- Perform basic remedial maintenance such as minor plumbing and electrical repairs
- Maintains stock inventory control.
- Support coordination for onsite meetings.
- Performs necessary safety inspections, including taking status readings on mechanical equipment.
- May directly and/or indirectly supervise individuals, building staff, other vendors and technology systems relied upon to manage the building(s) and services supported.
- Perform light maintenance needs as required (knowledge of mechanical, electrical, plumbing is required).
- Provide support for emergency situations (fire, evacuation, equipment failure, etc.) at all times.
- Other duties as assigned.
Experience
- High school diploma/GED equivalent; bachelor’s degree preferred.
- Fluent in Spanish & English, both written and verbal
- Minimum 5 years of real estate property / facility management or related experience, or any similar combination of education and experience.
- Strong attention to detail, well organized.
- Excellent oral and written communication and presentation skills.
- Proficient computer and administrative skills, with the ability to train and coach property staff as needed.
- Proven record of excellent internal and external customer service.
- Demonstrated willingness and ability to work independently and productively.
- Willingness to take initiative, accept direction and be held accountable for job responsibilities.
- Ability to travel among portfolio as required.
- Possess or obtain a valid state operator/ driver’s license with not major violations on MVR.
- Ability to lift 50 pounds.
- Ability to climb ladders.
- Ability to pass a drug screen and a criminal background check.
